Job Description
Roles & Responsibilities
We are seeking a dynamic Executive Assistant with 3 to 5 years of experience in a similar role. This role will provide direct support to the CEO by managing daily operations, coordinating communication, and handling a wide range of administrative and strategic tasks. The Executive Assistant acts as a key point of contact for internal and external stakeholders and helps ensure the CEO’s priorities are met efficiently.
Key Responsibilities
- Manage the CEO’s calendar, appointments, and daily schedule with strong attention to priorities
- Prepare meeting agendas, presentations, reports, and briefing notes for the CEO
- Coordinate travel arrangements, itineraries, and logistics for local and international trips
- Handle incoming communication, including emails, calls, and messages, and respond when appropriate
- Track and follow up on tasks, deadlines, and commitments made by or to the CEO
- Support the CEO during meetings by taking notes, preparing minutes, and ensuring action items are completed
- Liaise with senior leadership, clients, vendors, and partners on behalf of the CEO
- Maintain strict confidentiality of sensitive information
- Assist with project coordination, research, and data gathering for strategic initiatives
- Prepare correspondence and ensure documents are accurate and professionally presented
- Maintain organized digital and physical filing systems
- Process expense reports, purchase requests, and other administrative tasks
- Handle special assignments and ad-hoc tasks to support the CEO’s workflow
Desired Candidate Profile
- Proven experience of 3 to 5 years as an Executive Assistant or Personal Assistant at a senior level
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Ability to work with discretion and handle confidential information
- Proficient in MS Office and business productivity tools
- Strong problem-solving skills and a proactive mindset
- Ability to stay calm under pressure and manage shifting priorities
Preferred Qualifications
- Background in business administration or a related field
- Ability to anticipate needs and work independently
- Comfortable interacting with high-level stakeholders
