Job Description

Roles & Responsibilities

We are seeking a dynamic Executive Assistant with 3 to 5 years of experience in a similar role. This role will provide direct support to the CEO by managing daily operations, coordinating communication, and handling a wide range of administrative and strategic tasks. The Executive Assistant acts as a key point of contact for internal and external stakeholders and helps ensure the CEO’s priorities are met efficiently.


Key Responsibilities

  • Manage the CEO’s calendar, appointments, and daily schedule with strong attention to priorities
  • Prepare meeting agendas, presentations, reports, and briefing notes for the CEO
  • Coordinate travel arrangements, itineraries, and logistics for local and international trips
  • Handle incoming communication, including emails, calls, and messages, and respond when appropriate
  • Track and follow up on tasks, deadlines, and commitments made by or to the CEO
  • Support the CEO during meetings by taking notes, preparing minutes, and ensuring action items are completed
  • Liaise with senior leadership, clients, vendors, and partners on behalf of the CEO
  • Maintain strict confidentiality of sensitive information
  • Assist with project coordination, research, and data gathering for strategic initiatives
  • Prepare correspondence and ensure documents are accurate and professionally presented
  • Maintain organized digital and physical filing systems
  • Process expense reports, purchase requests, and other administrative tasks
  • Handle special assignments and ad-hoc tasks to support the CEO’s workflow

Desired Candidate Profile

  • Proven experience of 3 to 5 years as an Executive Assistant or Personal Assistant at a senior level
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Ability to work with discretion and handle confidential information
  • Proficient in MS Office and business productivity tools
  • Strong problem-solving skills and a proactive mindset
  • Ability to stay calm under pressure and manage shifting priorities

Preferred Qualifications

  • Background in business administration or a related field
  • Ability to anticipate needs and work independently
  • Comfortable interacting with high-level stakeholders
