The team prides itself on integrity, efficiency, and client-first service, supporting both English- and Spanish-speaking clients. They operate with modern tools and well-defined workflows to deliver timely, high-quality legal services.
Why does this role exist?
This role exists to be the firm s reliable, bilingual front line ensuring every inquiry is captured, qualified, and scheduled, while clients receive timely updates and a professional experience. By owning intake, scheduling, lead follow-up, routine client communication, and coordination with courts and other firms, the assistant frees the attorney to focus on legal work. The goal is to function as if seated in-office: consistently available, fast to respond, and proactive in keeping calendars, cases, and communications on track.
The Impact you ll make
Client Intake & Data Management
- Contact new/prospective clients in English and Spanish to complete intake questionnaires
- Follow scripts/forms to ensure all required fields are captured and accurately entered into Clio/case files
- Organize documents and client data; track status and ensure nothing falls through the cracks
- Schedule consultations, client meetings, and hearings; coordinate times with clients, opposing counsel, and courts
- Manage availability and time slots in Clio and the client s calendar; send confirmations and reminders
- Monitor changes, resolve conflicts, and keep the attorney s schedule current and error-free
- Call and text inbound leads from advertising and other sources to schedule consultations (attorney handles selling)
- Log lead outcomes, update trackers/Clio, and move qualified leads into the intake process
- Maintain fast response times and consistent follow-through to maximize show rates
- Serve as the primary point of contact for routine questions and updates via Gmail, RingCentral, text, and video
- Relay messages to the attorney promptly; maintain a professional, empathetic tone with Spanish-only clients
- Provide status updates per SOPs and escalate issues appropriately
- Communicate with opposing counsel/offices to exchange information; confirm/schedule hearings with court clerks
- Complete non-paralegal administrative tasks (document collection, form completion, data entry in Clio)
- Uphold confidentiality, follow SOPs, and comply with firm policies (NDA and secure handling of sensitive data)
Required:
- Bilingual English/Spanish fluency (spoken and written)
- Proven experience in Executive assistant/administrative/reception roles in a professional setting (legal preferred but not required)
- Professional phone etiquette and client-facing communication skills across email, phone, text, and video
- Willingness to sign an NDA and complete background due diligence
- Availability Monday Friday, 9:00 a.m. 5:00 p.m. Eastern
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home
- Tech-savvy and quick to learn new tools (Gmail, calendars, RingCentral; able to ramp quickly on Clio)
- Meticulous data entry and documentation; strong organization and time management
- Professional, empathetic communicator who can confidently support Spanish-only clients
- Proactive follow-through, prioritization, and multitasking under time constraints
- Trustworthy, discreet, and SOP-driven, with a strong sense of ownership and reliability
- You thrive as the front line for a busy legal practice and love creating order calendars, intakes, and client updates
- You re energized by frequent phone work and bilingual (English/Spanish) communication
- You follow SOPs closely yet anticipate needs and remove friction for clients and the attorney
- You excel in a remote setting, are punctual and dependable, and are comfortable with accountability and time tracking
- You value discretion, professionalism, and delivering a consistent, high-quality client experience
Work Setup:
- Remote position
- Must have a reliable internet connection and a quiet workspace
- Required to provide own computer with Intel Core i5 or something similar or higher operating system
- Monday to Friday, 9:00 am - 5:00 pm Eastern Time
- 40 hours per week
- $7 per hour
