Job Description

An Administrative Assistant plays a crucial role in ensuring the smooth operation of an office by providing support to managers, colleagues, and office visitors. As a central figure in the office, the Admin Assistant manages various administrative tasks, such as coordinating schedules, handling correspondence, and maintaining records. Responsibilities
  • Manage schedules and calendars of the office to ensure effective time management.
  • Handle correspondence, including emails and phone calls, professionally and promptly.
  • Organize and maintain filing systems, both electronic and physical, for easy retrieval.
  • Coordinate meeting logistics, including room reservations and audiovisual equipment setup.
  • Prepare and distribute communications, such as memos, reports, and presentations, accurately.
  • Assist with office supply inventory and order necessary supplies in a timely manner.
  • Greet and direct office visitors, ensuring a positive and welcoming environment.
  • Schedule and coordinate travel arrangements, ensuring efficient itinerary management.
  • Assist with special projects and other tasks as requested by the management team.
  • Support HR functions, including scheduling interviews and maintaining employee records.
  • Manage and prioritize multiple tasks while maintaining accuracy and attention to detail.
  • Ensure confidentiality and discretion in handling sensitive information and records.

Requirements
  • Bachelor s degree in Business Administration or a related field preferred.
  • Proven experience as an administrative assistant or in a similar office role.
  • Proficiency in Microsoft Office Suite and other common office software applications.
  • Strong organizational and time management skills with the ability to multitask.
  • Excellent verbal and written communication skills are necessary for success.
  • Attention to detail and problem-solving skills are essential for this role.
  • Ability to work independently and as part of a team in a dynamic environment.
  • Professional demeanor and strong interpersonal skills with all levels of staff.
