This role is created to alleviate the client s current overwhelm from juggling multiple organizational and operational tasks. The virtual assistant will establish and sustain efficient systems and processes that streamline workflows, thus freeing the client to focus on their core creative work. By managing priorities, technical platforms, and support functions, this position enables smoother operations and reduces missed opportunities caused by disorganization and distraction.

The Impact you ll make

Organizational and Process Management
  • Manage and organize client priorities, goals, and daily tasks
  • Design and implement support systems and workflow processes across the client s projects
  • Oversee process management from lead generation through client offboarding

Platform and Technical Support
  • Manage, set up, and optimize the Circle platform for client community and event needs
  • Assist with live online event execution and technical troubleshooting
  • Train client and other team members as needed on Circle platform use

Research and Content Support
  • Conduct in-depth research for personal and professional tasks (e.g., visa requirements)
  • Edit content and package written materials into clear, engaging presentations (without AI content creation)

Communication and Coordination
  • Maintain organized communication streams via WhatsApp and email
  • Facilitate smooth internal and external client communications

Skills, Knowledge and Expertise

Required:
  • Proven experience and knowledge of the Circle platform (non-negotiable)
  • Strong organizational and process-oriented mindset
  • Experience managing workflows and priorities independently
  • Research capabilities for both personal and professional contexts
  • Experience creating presentations and packaging content
  • WFH Set-Up:
    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
    • Internet speed of at least 40MBPS
    • Headset with an extended mic that has noise cancellation and a webcam
    • Back-up computer and internet connection
    • Quiet, dedicated workspace at home
