Job Title: Document Controller
Industry: Construction Projects, Interiors & Fitout
Job Summary
We are seeking a meticulous and detail-oriented Document Controller with a construction company background to manage, organize, and maintain all project and organizational documentation. The ideal candidate will ensure that documents are accurate, up-to-date, and readily accessible to team members and stakeholders while adhering to company policies and regulatory standards.
Key Responsibilities
- Document Management: Establish and maintain an efficient document control system, including the filing, tracking, and retrieval of documents.
- Version Control: Monitor document revisions and ensure the latest versions are available and distributed appropriately.
- Compliance: Ensure all documentation complies with legal, regulatory, and company standards.
- Coordination: Collaborate with team members and departments to collect and distribute documentation.
- Quality Control: Review documents for accuracy, completeness, and compliance before submission or distribution.
- Archiving: Ensure proper archiving and retention of documents, following company and regulatory guidelines.
- Audits: Support internal and external audits by providing necessary documentation and maintaining organized records.
- Software Usage: Utilize document management software and systems effectively to streamline processes.
- Reporting: Generate periodic reports on document control activities and provide updates to management.
Qualifications
- Education: Diploma in Civil Engg, Bachelor’s degree in Business Administration, Information Management, or a related field.
- Experience: Proven experience in document control, records management, or a related role.
- Skills:
- Proficiency in document management systems and software (e.g., SharePoint, Documentum).
- Excellent organizational and multitasking skills.
- Strong attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to prioritize tasks and meet deadlines.
- 4 - 5 years (UAE) with fitout / construction industries background.
- Knowledge: Familiarity with document control standards, quality management systems, and ISO requirements is a plus.
