Job Description
Roles & Responsibilities
- Responsible for the end-to-end lifecycle of Purchase Requisitions (PRs) related to services and transportation — from creation and processing to approval and Purchase Order (PO) issuance — while maintaining accurate records and tracking in strict compliance with company procurement policies.
- Handle all GRNs (Goods Receipt Notes) and invoices related to service and transportation PRs, ensuring timely processing and accuracy.
- Maintain accurate logs and records of departmental transactions — including receipts, issues, returns, PRs, and POs — and provide structured data for analysis to identify trends, discrepancies, and opportunities for process improvement.
- Track monthly expenses and monitor budget consumption to support financial oversight and control.
- Coordinate and follow up on Purchase Orders, ensuring that services are delivered as per the agreed specifications and terms.
- Maintain and track parking data, including allocation, usage, and reporting for administrative planning and review.
- Receive and verify invoices from fleet and service suppliers, confirm accuracy before processing, issue GRNs for delivered services, maintain a clear record and tracker, resolve any discrepancies, and follow up with Finance for timely payment — all in accordance with company Finance & Accounting policies.
- Provide operational and administrative support to the services and fleet teams
- Draft and issue departmental memos, ensuring accurate documentation, formatting, and distribution of internal communications and records as needed
- Support the administration team in compiling and finalizing the monthly departmental report, including monthly activity summaries and performance insights, to support data-driven decision-making.
- Assist the Section Head in developing environmentally sustainable practices by reviewing operational trends, supporting reporting requirements, and contributing to the preparation of sustainability-related reports.
Desired Candidate Profile
- ‘A’ Level or equivalent. Bachelor’s degree in Administration or related - preferred.
- Knowledge of data collection; Inventory management and reporting
- Minimum of 1-3 years’ UAE experience in experience in administration, procurement support, or financial tracking.
- Proficiency in Ms. Office suite
- Excellent communication skills in English.
- Meticulous, well organized.

- Cross-functional Collaboration and effective relationship management.
