Job Description
Roles & Responsibilities
As a Senior Document Controller, you will play a crucial role in managing and overseeing the document control processes within the organization. You will ensure the efficient organization, storage, and retrieval of important documents and records, playing a key part in maintaining compliance with company and industry standards. You will collaborate with various departments, ensuring that all project documentation is up-to-date, accurate, and accessible to authorized personnel. As the Senior Document Controller, you will establish and enforce document control processes and best practices, providing guidance and training to other team members and stakeholders. Your leadership and organizational skills will be essential in facilitating seamless communication and coordination concerning document management within the company.
Responsibilities
- Develop and maintain document control processes and systems for project documentation.
- Ensure compliance with industry standards and company policies regarding document control.
- Coordinate and distribute project-related documents to relevant internal and external parties.
- Establish and maintain comprehensive file and document naming conventions.
- Perform regular audits to ensure document accuracy and integrity across departments.
- Provide training and support to staff on document control procedures and software.
- Oversee document retrieval, distribution, and storage to maintain security and confidentiality.
- Review and process document submittals, ensuring timely approval and distribution.
- Collaborate with project managers to facilitate document control during project lifecycles.
- Prepare and present reports on document control statistics and improvements to management.
- Implement corrective actions for document inaccuracies and ensure continued process improvement.
- Act as the main point of contact for document-related inquiries and resolutions.
Requirements
- Bachelor's degree in Business Administration, Information Management, or related field.
- Minimum of 5 years of experience in document control or records management.
- Strong knowledge of document control software and management systems is required.
- Excellent organizational skills and attention to detail are essential for this role.
- Effective communication skills with the ability to train and support team members.
- Proven experience in developing and implementing document control procedures.
- Ability to work independently and as part of a team in a fast-paced environment.
