Job Description
Roles & Responsibilities
Maintains an organized, systematic and updated filing system (hard copies & hard disk back up), in order to ensure easy accessibility to required data and avail loss of data from the hardware.
Prepares and types of sales team s corporate offer letters, updates Opera and ensures it is reviewed & properly checked before handing it for signature.
Composes letters, memos, faxes and other mail on behalf of the Director of Sales / (Area) Director of Sales & Marketing & other executives.
Maintains a prompt and accurate follow up and trace system for the Director /s Correspondences
Handles all incoming calls & guest s inquiries in the absence of the sales team & channel to the concerned department if the inquiry requires immediate action.
Promptly dispatches mail and facsimile documents within the sales department.
Maintains adequate stock of office supplies and initiate requisition.
Maintains and replenish Brochures, Fact Sheets, F&B Flyers
Ensures that the S&M month end report is accomplished and submitted on time.
Ensures that all correspondence and offers related to the sales team goes out within maximum of 24 hours.
Organizes own time & set up priorities ensuring maximum use of working day.
Reports to work punctually in proper and neat uniform complete with name tag at all times.
Ensures full knowledge of hotel s / area properties, facilities and services.
Makes a thorough check on the premises and operating equipment to determine cleanliness and orderliness.
Communicates well at all levels dealing with the various administrative demands placed by the pressurized working environment.
Be flexible to adapt to sudden increase in working hours if and when working demand arises.
Schedules break so that the Sales Office is manned at all times
Ensures that all equipment is in proper working order and to cultivate care for all equipment used. (copier, fax, PC s)

Displays a pleasant manner and positive attitude at all times and to promote a good company image to guests and colleagues.

Maintains the highest standards of professionalism, ethics and attitude towards all hotel guests, clients, staff and employees.
Maintains professional business confidentiality
Adheres to Company and Hotel rules and regulations at all times
Occasional Responsibilities
Reports any equipment failures/problems to the Maintenance Department
Passes any maintenance requests to the Maintenance Department.
Participates in any Training/Developments schemes as recommended by Senior Management.
Complies with any reasonable request made by management to the best of your ability.
Legal Responsibilities
Ensures that the standards required by Law and by Management are maintained at all times in the areas specified above.
Desired Candidate Profile
Bachelor's degree in business administration, Marketing, Sales, or a related field.
Proven experience in sales coordination, customer service, or a similar role (typically 1-3 years)
Excellent verbal and written communication skills.
Ability to liaise effectively with clients and internal teams.
Strong organizational and time-management abilities.
Ability to handle multiple tasks and meet deadlines
Proficiency in MS Office Suite (Word, Excel, PowerPoint).
Understanding of sales principles and customer service practices.
