Roles & Responsibilities
A Payroll Specialist plays a crucial role in an organization's financial team, responsible for managing and coordinating payroll processes to ensure employees are paid accurately and on time. The position requires a strong understanding of payroll software, tax regulations, and compliance standards. The Payroll Specialist acts as a critical liaison between departments, handling sensitive data with confidentiality and integrity. This role demands high attention to detail, problem-solving skills, and the ability to resolve payroll discrepancies efficiently. As the organization's payroll expert, the Payroll Specialist must stay informed on the latest changes in payroll policies and procedures to implement best practices within the department.
Responsibilities
- Process payroll for all employees accurately and in a timely manner.
- Maintain and update employee payroll records and related documentation regularly.
- Ensure compliance with federal, state, and local payroll tax regulations.
- Prepare and submit payroll reports to management and regulatory agencies.
- Coordinate with HR and Accounting to streamline payroll and benefits processes.
- Resolve payroll discrepancies and respond to payroll-related inquiries promptly.
- Calculate wages, overtime, deductions, and other payroll calculations correctly.
- Maintain confidentiality of employee payroll data and adhere to data protection policies.
- Contribute to the development and improvement of payroll processes and procedures.
- Assist with year-end payroll processes and the preparation of W-2 forms.
- Stay updated on new legislation affecting payroll operations and procedures.
- Provide training and support to other staff on payroll systems and processes.
Requirements
- Bachelor's degree in Accounting, Finance, or related field preferred.
- Previous experience in payroll processing and administration is essential.
- Strong knowledge of payroll software and Microsoft Office Suite required.
- Excellent understanding of payroll tax laws and regulatory requirements.
- Exceptional organizational skills and keen attention to detail are necessary.
- Ability to handle sensitive information with discretion and professionalism.
- Strong analytical skills and capability to resolve complex payroll issues.
- Effective communication skills for interaction with various departments and staff.
