Job Description

The Payroll Specialist plays a critical role in ensuring that employees are paid accurately and on time. This position requires a keen eye for detail, exceptional organizational skills, and a comprehensive understanding of payroll processes and relevant laws. The Payroll Specialist will work closely with the HR and Finance departments to manage and execute all aspects of payroll operations. This includes handling payroll software, maintaining accurate payroll records, and responding to any payroll-related inquiries. An ideal candidate is someone who is detail-oriented, proactive, and dedicated to maintaining the highest standards of accuracy and compliance. This role is essential for fostering employee satisfaction and ensuring legal compliance with employment and tax regulations.


Responsibilities
  • Process payroll for all employees accurately and in a timely manner.
  • Maintain up-to-date records of payroll transactions and related documentation.
  • Review and reconcile payroll discrepancies to ensure correctness and compliance.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws.
  • Collaborate with HR and Finance to ensure integration of payroll with other functions.
  • Coordinate with external payroll service providers for payroll processing operations.
  • Prepare and distribute payroll reports to stakeholders as required.
  • Respond to employee queries about payroll information in a prompt manner.
  • Assist with the implementation and updating of payroll policies and procedures.
  • Manage data confidentiality and protect payroll operations by keeping information secure.
  • Participate in audits and provide necessary documentation as required by auditors.
  • Maintain compliance with workplace legislation and administrative requirements.

Requirements
  • Bachelor s degree in Accounting, Finance, or a related field preferred.
  • Proven experience as a Payroll Specialist or in a similar payroll position.
  • Solid understanding of payroll practices and relevant federal/state employment laws.
  • Proficiency in using payroll software, spreadsheets, and accounting software tools.
  • Excellent mathematical aptitude with strong attention to detail and accuracy.
  • Strong organizational skills and ability to handle multiple tasks simultaneously.
  • Effective communication skills to handle sensitive employee payroll information.
