Job Description

Roles & Responsibilities

  • Manage and direct incoming calls, ensuring prompt and professional handling to maintain a positive company image.
  • Greet and assist visitors, providing a welcoming atmosphere and efficiently directing them to the appropriate personnel.
  • Handle mail and packages, including sorting, distributing, and coordinating outgoing shipments with accuracy and timeliness.
  • Maintain the reception area's tidiness and organization, creating a professional and inviting environment for all.
  • Schedule and manage appointments, coordinating calendars and ensuring seamless meeting arrangements.
  • Provide administrative support, such as data entry, filing, and photocopying, to assist various departments.
  • Manage office supplies inventory and place orders to maintain adequate stock levels, ensuring operational efficiency.
  • Assist with travel arrangements, booking flights, hotels, and transportation for staff and visitors when required.
  • Handle petty cash transactions and maintain accurate records, ensuring adherence to financial procedures.
  • Serve as the initial point of contact for all inquiries, providing information and directing individuals to the correct resources.

Desired Candidate Profile

  • Seeking candidates with at least 1-2 years of experience in a receptionist or similar administrative role.
  • Proficient in using Microsoft Office Suite (Word, Excel, Outlook) to perform daily tasks efficiently.
  • Excellent verbal and written communication skills, with the ability to interact professionally with diverse individuals.
  • Demonstrates exceptional organizational abilities, capable of managing multiple tasks and prioritizing effectively.
  • Possesses strong interpersonal skills, creating a welcoming and friendly atmosphere for visitors and colleagues.
  • Must be fluent in English and possess strong command of the language, both spoken and written.
  • Candidates with previous experience in the corporate sector or relevant industry are preferred.
  • Must have the ability to maintain confidentiality and handle sensitive information with discretion.
