Job Description
Roles & Responsibilities
Duties & Responsibilities:
- Ensure the safety conditions of the stores.
- Allocate the main and departmental stores.
- Distribute different supplies items.
- Code all store items.
- Initiate a policy for receiving any items according to specs required.
- Assign or recommend the receiving individuals or committees members.
- Initiate and implement a policy of substitutions and discarding.
- Monitors and maintains current inventory levels.
- Records purchases, maintains database, performs physical count of inventory, and reconciles actual stock count to computer-generated reports.
- Receives, unpacks, and delivers goods; re-stocks items as necessary; labels shelves.
- Processes and documents returns as required following established procedures.
- Performs routine clerical duties, including data entry, answering telephones, and assisting customers.
- Participate in any committee for physical count of inventory and reconciles actual stock count computer- generates reports.
- Generates all reports (on hand, reorder, consumption and expiry).
- Monitors item transaction history.
- Monitor item expiry.
- Fix the integrity of stock and database information.
- Meets current objectives and positions the organization for future growth. Completes daily tasks and assignments and processes large volumes of work associated with the operation of the department.
- Builds positive relationships based on respect for others. Demonstrates a helpful positive attitude. Maintains effective communication with peers, staff and visitors.
- Meets and exceeds expectations of internal and external customers. All organizational and departmental standards regarding quality of performance are met. Demonstrates a strong commitment to confidentiality. Participates in quality improvement programs as directed.
- Performs other applicable tasks and duties assigned within the realm of the employee's knowledge, skills and abilities.
- Receive and inspect all incoming materials, compare information on packing slip with purchase order to verify accuracy of shipment, inspect shipment for damages or defects, record discrepancies or damages in shipments and reconcile with purchase orders.
- Deliver received and inspected materials, supplies (Pharma, Medical and others), and equipment to the user s section as requested.
- Examine and inspect stock items for any discrepancies in physical counts of stock or defects / expiry in order to report any damage to the corporate office s Stores Supervisor, and dispose defective, expired or damaged items accordingly.
- Ensure that all equipment / items have been properly labelled and inspected.
- Issue items to various sections through automatic replenishment system or on store issue voucher and obtain authorized signatures for accepted items.
- Update computerized store management system with details of material received and issued.
- Clean receiving, storage, packing and dispatching areas; bins, shelves, and cupboards, if needed, and report any defect / damage observed in the storage facility including the walls, floors, roofs, windows and doors to the corporate office s Stores Supervisor.
- Store items / equipment in an orderly manner to ensure easy accessibility for this items / equipment.
- Prepare reports that cover all Store activities for the Direct Manager, as requested.
Qualification & Experience Requirements
- High School/ Diploma or Vocational training in a related field.
- Preferably with a higher education degree in a relevant field.
- Minimum 3-4 years of experience in hospital s store management & store keeping.
Skills and Competencies:
- Good command in English and Arabic.
- Proficient in MS Office and back-office software (e.g. ERP)
- Excellent organizational and time-management skills.
- Ability to prepare routine administrative paperwork.
- Ability to receive, stock, and/or deliver goods.
- Clerical, word processing, and/or office skills.
- Competent working knowledge in computer systems.
- Ability to communicate both oral and written.
- Ability to analyze and solve problems
