Job Description

Roles & Responsibilities

1. Take full responsibility for the end-to-end management of all company stock, including the allocation, deployment, and retrieval of IT equipment across the Head Office, shops, and warehouses.

2. Assess and document the condition of IT equipment on a regular basis.

3. Handle the preparation, segregation, and documentation of non-functional or outdated office equipment for scrapping or resale.

4. Maintain accurate and up-to-date inventory records of all IT assets and consumables.

5. Conduct daily stock counts to ensure real-time accuracy and prevent discrepancies.

6. Organize and maintain proper storage of IT equipment at the Head Office and DIP warehouse.

7. Arrange physical stock items efficiently in designated areas to ensure accessibility, safety, and proper control.

8. Monitor stock levels and replenish IT inventory based on usage, minimum stock levels, and forecasted requirements.

9. Source, evaluate, and maintain relationships with local suppliers and vendors.

10. Negotiate pricing, terms, and delivery timelines with suppliers to ensure cost efficiency and timely availability of stock.

11. Receive and verify newly delivered stock items against invoices, delivery notes, and purchase documents, and report any quantity or quality discrepancies.

12. Prepare, maintain, and secure acknowledgement forms for all allocated IT assets.

13. Prepare requested IT items for dispatch to concerned departments, shops, and warehouses.

14. Coordinate closely with the IT Department for the preparation and delivery of items required for installations, replacements, or upgrades.

15. Coordinate with HR to ensure timely retrieval of company assets during employee exits and transfers.

16. Respond promptly and efficiently to internal IT item requests from employees across departments.

17. Support overall Purchase and IT operations by performing additional duties as assigned by management.

18. Perform any other tasks related to stock control, sourcing, and asset management as assigned from time to time.

Desired Candidate Profile

· Minimum 3 years of experience in similar capacity, preferably handling IT equipment and consumables.

· Diploma or Bachelor’s degree in Supply Chain, Logistics, IT, Business Administration, or a related field.

· Proven experience in inventory and stock control, including asset tracking, stock counts, and reconciliation.

· Strong knowledge of IT assets, hardware, and consumables management.

· Strong negotiation skills with suppliers and hands-on experience in sourcing and dealing with local vendors.

· Ability to monitor stock levels, forecast requirements, and manage replenishment efficiently.

· Experience in handling obsolete or non-functional assets for scrapping or resale.

· Proficient in MS Excel and inventory management systems.

· Strong coordination and communication skills to work with IT, HR, Purchasing, and Operations teams.

· Detail-oriented, organized, and able to work independently with minimal supervision.
