Job Description

As a Site Document Controller, you will play an essential role in managing and overseeing the documentation process within construction or engineering projects. You will be responsible for maintaining project documents, ensuring that they are accurate, up-to-date, and easily accessible to key stakeholders. Your organizational skills will be crucial in coordinating with various departments to gather, document, and manage all necessary project information. This position requires attention to detail and the ability to work under pressure while maintaining a high standard of documentation and regulatory compliance. You will ensure that the documentation flow complies with legal and contractual requirements, thereby supporting the smooth and efficient execution of projects.


Responsibilities
  • Organize and manage site document control processes to ensure efficiency and security.
  • Maintain and keep up-to-date the project document management system at all times.
  • Ensure all documents are properly classified, stored, and filed for easy access and retrieval.
  • Coordinate with project managers and engineers to gather and track all necessary documentation.
  • Review documents for completeness, accuracy, and compliance with established standards.
  • Prepare reports as required to provide information to management about documentation status.
  • Facilitate document flow within the project team and liaise between different departments and stakeholders.
  • Handle requests for document retrievals and provide documents promptly when required.
  • Implement document control procedures and maintain document control registers.
  • Assist in the preparation of the project handover documentation to clients after project completion.
  • Ensure all sensitive and confidential information is managed in accordance with company policies.
  • Train team members and new employees on document management processes and software.

Requirements
  • Proven experience as a document controller or in a related field.
  • Strong knowledge of document control processes and systems.
  • Excellent organizational and multitasking skills to handle multiple demands.
  • Attention to detail with the ability to spot discrepancies in data or documents.
  • Proficiency in using document management software and office suite applications.
  • Familiarity with regulatory and quality standards related to document management.
  • Strong communication skills to effectively liaise with team members and stakeholders.
