Job Description
Roles & Responsibilities
• Bayan Preparation & Submission:
o Prepare SILA Bayans (drafting, uploading documents, and submitting).
o Verify HS codes and ensure any required approvals or restrictions are addressed.
o Check all documents and cross-verify the manifest to match invoices and shipping documents before submission to the Abu Dhabi portal.
• Shipment Coordination & Pre-Alerts:
o Send Nestle pre-alerts for shipments loaded after 12:00 AM daily.
o Check GPS and confirm truck dispatch to ensure accurate pre-alerts.
o Act as transport coordinator for shipments entering Saudi Arabia.
o Prepare NAQL (transport documents) for trucks entering Saudi Arabia.
• AD Portal Operations & Follow-Up:
o Handle all tasks related to the Abu Dhabi portal.
o Follow up on any additional requirements from the portal or authorities.
o In case the On-Ground SILA Team is unavailable, handle billing and customs clearance for other transport companies.
o Perform a weekly update of the Authorization List and ensure it is accurate, complete, and up to date in coordination with relevant teams.
• Certificates, Seals & UAE Exit Permits:
o Maintain exit and entry certificates.
o Ensure all seals are obtained on time and none are missing for DWC office, DWC operations, and SILA office.
o Issue UAE exit permits for drivers as required, in case the On-Ground SILA Team is unavailable. • TIR & Carnet Clearance: o Handle TIR clearance and Carnet submission.
o Ensure Carnets are submitted back to the TIR team within a maximum timeline of 2 weeks.
o Maintain TIR Carnet availability and ensure a minimum stock of around 40 Carnets at all times. • Email Communication:
o Respond promptly and professionally to all emails related to your department to ensure smooth operations and coordination.
Desired Candidate Profile
• Strong knowledge of customs regulations, SILA portal procedures, and cross-border logistics. • Excellent coordination and communication skills. • Ability to handle multiple tasks and prioritize under pressure. • Analytical skills to monitor operational KPIs and maintain compliance. • Technical skills for document preparation, AD portal operations, and NAQL generation. • Problem-solving ability for operational, billing, and compliance challenges. • Relationship management with clients, authorities, and transport companies. • Attention to detail to ensure accurate documentation, permits, and TIR Carnets. • Strong attention to detail and document control, including maintaining and updating Authorization Lists and regulatory records. • Experience in SILA or SILA Bayan operations is a must. • Proficiency in Excel, Google Sheets, and office tools. • Basic knowledge of customs procedures, documentation, and regulatory compliance. • Ability to work independently and coordinate with multiple teams. • Good organizational, multitasking, and communication skills.
