We are seeking a highly organized and proactive full-time Service Coordinator to manage the scheduling, coordination, and customer support functions for our marine service operations. The ideal candidate will serve as the key liaison between customers, service technicians, and internal departments, ensuring timely, efficient, and high-quality service delivery for vessels and marine equipment.
Key Responsibilities:
Coordinate and assist in scheduling service jobs for vessels, including maintenance, repairs, inspections, ensuring cross-departmental alignment on deadlines and deliverables.
Serve as the main point of contact for clients regarding service appointments, updates, and general inquiries.
Assign work orders to field technicians based on skill set, availability, and location.
Monitor the progress of service jobs and provide regular updates to customers and internal stakeholders.
Ensure all necessary parts, tools, and documentation, such as gate pass are prepared for technicians ahead of service jobs.
Maintain accurate service records, job tickets, and customer data using Zoho or similar platforms.
Liaise with vendors and suppliers for parts procurement and delivery scheduling.
Follow up on completed jobs to ensure customer satisfaction and proper documentation.
Assist in preparing service reports, cost sheets, quotations, and invoices as needed.
Ensure all work complies with marine industry regulations, safety standards, and company policies.
Ad hoc office administrative jobs, such as overseeing daily office operations.
· Provide executive support to the Managing Director, including reporting, meeting prep, and follow-ups, as and when required.
Qualifications:
Proven experience in service coordination, preferably within the marine, mechanical, or industrial sector.
Strong knowledge of marine vessels, systems, and terminology (a plus but not mandatory).
Excellent organizational, time management, and multitasking skills.
Strong communication skills – verbal and written.
Proficient in Microsoft Office Suite and service management software (experience with Zoho is an advantage)
Ability to work under pressure and in a fast-paced environment.
Preferred Skills:
Familiarity with marine servicing standards and certifications (e.g., ABS, DNV, IMO regulations).
Basic understanding of mechanical/electrical systems on boats and ships.
Strong problem-solving skills and attention to detail.
Customer-oriented mindset with a proactive approach.
