Roles & Responsibilities

Position Overview

We are seeking a Senior Executive Operations & Administrative Officer with a strong technology and agency mindset.

This role goes beyond traditional secretarial work.
The position acts as an internal operations control layer, ensuring that:

  • Client requests are properly logged
  • Tasks are assigned and followed up on
  • Teams deliver on time
  • Management receives clear operational reports

The role requires someone confident, organized, detail-oriented, and experienced in technology, digital agencies, or IT environments.

Key Responsibilities:

Executive & Operations Support

  • Manage executive calendars, priorities, and alignment meetings.
  • Organize and coordinate internal and external meetings (online and on-site).
  • Prepare meeting agendas, notes, and follow-ups.
  • Act as a structured communication bridge between management and teams.

Task Tracking & Follow-Up (Core Responsibility)

  • Receive and log client tasks coming from WhatsApp, email, meetings, or account managers.
  • Ensure all tasks are appropriately recorded in project management systems.
  • Follow up with account managers, developers, engineers, and senior staff on task status.
  • Escalate delays or risks to management when necessary.
  • Ensure no client request is ignored, delayed, or lost.

Project & Workflow Management

  • Use tools such as Jira, Asana, ClickUp, Monday.com, or Trello to track tasks and progress.
  • Monitor task deadlines, priorities, and dependencies.
  • Coordinate between departments to ensure smooth execution.
  • Support internal workflow optimization and discipline.

Reporting & Control

  • Prepare weekly and monthly operational reports for management, including:
  • Task status
  • Delays and risks
  • Team responsiveness
  • Client follow-ups
  • Maintain visibility over workload and delivery performance.
  • Ensure management always has a clear picture of ongoing operations.

Administrative & Office Management

  • Manage office administration and internal organization.
  • Maintain structured documentation and digital records.
  • Handle sensitive company and client data with complete confidentiality.

Basic HR & Staff Administration (Support Only)

  • Maintain staff attendance, leaves, and basic records.
  • Support onboarding documentation when needed.
  • Coordinate internal policies and administrative compliance.

Desired Candidate Profile

Mandatory Requirements

  • Bachelor s degree in Business Administration, Management, or a related field.
  • Minimum 7+ years of experience in executive administration, operations, or coordination roles.
  • Proven experience in a technology company, digital agency, IT firm, or professional services environment.
  • Strong understanding of how development teams, account managers, and technical workflows operate.
  • Hands-on experience using project management tools (Jira, Asana, ClickUp, Monday.com, Trello).
  • Excellent organizational, follow-up, and reporting skills.
  • Strong communication skills in Arabic and English.
  • High level of professionalism, confidence, and discretion.

Preferred (Strong Advantage)

  • Experience working directly with CEOs, directors, or senior management.
  • Experience managing multiple client accounts or service-based operations.
  • Familiarity with digital marketing, websites, e-commerce, or ERP projects.
  • Experience with Odoo or similar ERP systems.
