Job Description

Roles & Responsibilities

1. Financial Reporting & Compliance

  • Prepare and present monthly, quarterly, and annual financial statements in compliance with RERA or relevant regulatory bodies.
  • Ensure adherence to Jointly Owned Property (JOP) laws and financial reporting standards applicable to OA.
  • Submit audited financials to the OA Board and regulatory authorities as required.

2. Budgeting & Forecasting

  • Assist in the preparation of annual budgets including operational expenses, reserve fund allocation, and service charge forecasts.
  • Monitor actuals vs. budget variances and provide regular analysis to management.
  • Recommend financial strategies based on forecasting and community needs.

3. Service Charge & Reserve Fund Management

  • Monitor collection and allocation of service charges and reserve fund contributions from unit owners.
  • Reconcile service charge accounts and ensure appropriate reserve fund segregation.
  • Maintain transparency in how funds are used for community improvements and asset upkeep.

4. Accounts Payable & Receivable

  • Oversee timely invoicing, collection, and reconciliation of receivables from unit owners.
  • Approve and process payments to vendors, contractors, and service providers in compliance with OA policies.
  • Coordinate with property management teams to resolve disputes related to payments or outstanding dues.

5. Cash Flow & Bank Reconciliations

  • Maintain up-to-date cash flow reports and perform regular bank reconciliations.
  • Ensure optimal liquidity for meeting short-term obligations while maintaining reserves.
  • Liaise with banks for account operations and investment of surplus funds if applicable.

6. Audit & Internal Controls

  • Coordinate with external auditors for annual audits and ensure timely submission of all audit requirements.
  • Implement and monitor internal financial controls to safeguard OA funds and assets.
  • Ensure clear documentation and audit trails for all transactions.

7. System & Software Oversight

  • Work with property or community management software (e.g., Yardi, Oracle, or specialized OA systems) to maintain financial data.
  • Support the integration of accounting systems with operational and compliance modules.

8. Stakeholder Communication

  • Prepare financial summaries and reports for the OA Board and Annual General Assembly meetings.
  • Respond to unit owner queries regarding service charges, payment status, and financial matters.
  • Collaborate with community managers, facilities teams, and external consultants.
