Job Description
Roles & Responsibilities
Process sales orders from receipt through to dispatch: create orders in ERP/CRM, verify specifications, confirm deliveries with Production and Logistics.
Prepare accurate quotations, proforma invoices and order confirmations based on approved pricing; ensure documentation (commercial invoices, packing lists, certificates) for export/local shipments is correct.
Maintain and update customer records and order status in CRM; generate routine sales reports (weekly/monthly).
Coordinate with Production and Supply Chain for scheduling, packaging and shipment planning; escalate any delivery or production issues to the Sales Executive.
Track shipments, support export documentation, liaise with freight forwarders and customs as needed.
Respond to customer enquiries on order status, delivery dates and basic commercial queries; escalate claims/technical complaints to Sales or Quality.
Support collections by forwarding delivery & invoice data to Finance and assisting with basic credit follow-up.
Support marketing & sales activities (preparing presentations, sample requests, trade show logistics).
Maintain document control: contracts, purchase orders, delivery notes and sales archives for auditability.
Recommend process improvements to reduce administrative errors and improve order-to-delivery cycle time.
Competencies & Skills
Strong administrative, communication and organisational skills.
Proficiency in using MS Office Suite applications.
Attention to detail and ability to work under tight timelines.
Ability to work cross-functionally, manage multiple priorities and travel as required.
Fluent in English; additional languages are an advantage.
