Job Description

Roles & Responsibilities

  • Manage and screen incoming calls, ensuring all inquiries are handled professionally and efficiently, directing them to the appropriate personnel or departments.
  • Greet and welcome visitors with warmth and professionalism, providing excellent customer service and creating a positive first impression of the company.
  • Manage and maintain the reception area, ensuring it is organized, tidy, and presentable at all times to reflect a professional image.
  • Handle incoming and outgoing mail, packages, and deliveries, ensuring accurate logging, tracking, and distribution to the intended recipients.
  • Provide administrative support such as photocopying, scanning, and filing, assisting with various office tasks to ensure smooth operations.
  • Schedule and manage appointments and meetings, coordinating calendars and ensuring efficient time management for staff and visitors.
  • Maintain and update contact lists and databases, ensuring accuracy and confidentiality of information for effective communication.
  • Assist with travel arrangements, including booking flights, hotels, and transportation, to support staff travel needs.
  • Manage office supplies inventory, ordering and maintaining necessary supplies to ensure the office runs efficiently.
  • Handle petty cash and process expense reports, maintaining accurate records and ensuring proper documentation for financial transactions.

Desired Candidate Profile

  • Completed a high school diploma, with a preference for candidates holding an Associate's degree in a related field.
  • Possesses a minimum of 1 year of relevant experience in a receptionist or administrative support role, demonstrating practical knowledge.
  • Fluent in both English and Tagalog, with excellent verbal and written communication skills, ensuring effective interaction.
  • Filipino nationality is preferred due to cultural understanding and communication proficiency.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook), demonstrating essential technical skills for daily tasks.
  • Exhibits strong organizational and time-management skills, capable of prioritizing tasks and meeting deadlines efficiently.
  • Demonstrates excellent interpersonal and communication skills, with a friendly and approachable demeanor for effective interaction.
