Job Description

As the first point of contact for our valued clients and visitors, the Receptionist plays a crucial role in creating a welcoming and professional environment in our office. This role requires an enthusiastic and friendly individual who can manage front-desk activities with efficiency and charm. Serving as the face of our company, the Receptionist greets guests, answers phone calls, and supports various administrative tasks to ensure smooth operations. The ideal candidate for this position is organized, has excellent communication skills, and can manage multiple tasks in a fast-paced environment while maintaining a positive demeanor. Responsibilities
  • Warmly greet and welcome visitors upon their arrival at the office.
  • Ensure the reception area is tidy and presentable at all times.
  • Answer, screen, and forward incoming phone calls professionally.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Provide basic and accurate information in-person, via phone, and via email.
  • Maintain office security by following safety procedures and controlling access.
  • Assist in scheduling and coordinating meetings and conference calls.
  • Perform other clerical receptionist duties as necessary and required.
  • Assist with preparing and setting up meeting rooms for clients and staff.
  • Support various administrative tasks and projects as assigned by management.
  • Monitor and maintain office supplies inventory and order new supplies when needed.
  • Handle guest inquiries and complaints with professionalism and composure.

Requirements
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office management software applications.
  • Solid written and verbal communication skills with strong attention to detail.
  • Ability to organize, multitask, and prioritize tasks in a fast-paced environment.
  • Customer service attitude with an ability to stay positive under pressure.
  • High school diploma required; additional certification in Office Management is a plus.
  • Familiarity with telephone systems, office equipment, and general clerical functions.
