Job Description

Roles & Responsibilities

Primary Point of Contact: Act as the first touchpoint for all guests and VIP delegates, providing a warm, professional, and pleasant experience from arrival to departure. Visitor Protocol: Greet visitors, provide accurate information, and direct them to the appropriate person or meeting room in accordance with company hospitality standards. VIP & Delegate Support: Provide specialized support for VIP visits, ensuring all protocols and guidelines are strictly followed. Concierge Services: Coordinate visitor requests such as taxi bookings, public transport information, and beverage service coordination. Access Control: Maintain accurate visitor logs and manage the issuance/collection of visitor passes to ensure premises security. Executive Office Operations (GCEO Support) Document Verification: Obtain, screen, and verify documents from various departments (Legal, HC, Finance) to ensure they align with the Delegation of Authority (DOA) and company policies before forwarding for signature. Monitoring Unit: Act as a focal point to track and follow up on progress for all requests assigned by the GCEO or Line Manager to ensure timely completion. Executive Backup: Act as the focal point of contact during the absence of the GCEO Office Manager, Personal Assistant, or the TBP CEO Office Manager. Confidentiality: Update and maintain departmental files and sensitive documents in a secure manner to ensure confidentiality and easy retrieval. Communication & Logistics Switchboard Management: Handle all incoming and outgoing telephone calls professionally, directing them to the appropriate personnel. Mail & Courier Handling: Manage the receipt, stamping, segregation, and distribution of all mail and documents to prevent misrouting. Courier Tracking: Maintain daily and monthly mail/courier log sheets to provide data for accurate invoicing and monitor messenger movements to avoid loss in transit. Meeting Room Coordination: Manage bookings for meeting rooms and coordinate with IT Support for any equipment requirements (projectors, screens, etc.). Administrative & Financial Support Financial Administration: Complete diverse tasks including the approval of quotations and invoices, tabulating official expenses, and ensuring timely submission to Finance. Procurement: Raise requisitions and coordinate with Procurement and Finance departments to ensure the completion of departmental orders. Filing Systems: Implement and maintain an accurate database and filing system for all departmental correspondence, reports, and records. Office Readiness: Ensure the reception area is manned, fully stocked, and kept tidy to reflect a positive corporate image. Continuous Development: Stay updated on professional developments and new techniques through continued education and growth.

Desired Candidate Profile

High School or bachelor's degree or equivalent 1–2 years’ experience in customer service or a related role Good English and Arabic communication skills Strong customer focus with a results-oriented mindset Business awareness, curiosity, and creative thinking Ability to work with urgency, adaptability, and flexibility Strong relationship-building, problem-solving, and decision-making skills Good planning, organization, and teamwork abilities
