Job Description

Roles & Responsibilities

Key Responsibilities

1. Sourcing & Vendor Management

- Research & Evaluate: Identify potential suppliers and service providers based on reliability, quality and cost-effectiveness.

- Relationship Building: Develop and maintain long-term relationships with key vendors to ensure priority service and stable pricing.

- Performance Audits: Conduct regular reviews of supplier performance to ensure they meet delivery deadlines and quality standards.

2. Negotiation & Contracting

- Contract Negotiation: Negotiate favorable terms, pricing, and payment schedules for all purchase agreements.

- Bid Management: Prepare bid invitations, review quotes, and analyze proposals to ensure maximum ROI.

- Legal Compliance: Ensure all contracts and purchases comply with company policies and local legal regulations.

3. Operations & Inventory

- Purchase Orders (PO): Create, process, and track POs through internal databases (like SAP or Oracle).

- Stock Monitoring: Collaborate with warehouse and inventory teams to monitor stock levels and forecast future procurement needs.

- Quality Control: Inspect incoming shipments to verify they match the order specifications and meet quality benchmarks.

4. Financial Tracking & Reporting

- Budget Adherence: Monitor spending to ensure procurement stays within departmental budgets.

- Data Analysis: Prepare detailed reports on purchase history, cost savings, and market trends to present to management.

- Dispute Resolution: Liaise with the Finance department to resolve any invoice discrepancies or payment issues.

Desired Candidate Profile

Education: Bachelor’s degree in Business Administration, Supply Chain Management, Logistics or a related field.

- Experience: 2–5 years of experience in procurement, purchasing or supply chain.

- Technical Skills: Proficiency in ERP software (e.g SAP, Microsoft Dynamics) and Microsoft Excel (advanced formulas and data analysis).

- Strong negotiation and persuasion abilities.

- High level of attention to detail for reviewing complex contracts.

- Excellent analytical thinking for cost-benefit analyses.

- Ability to multitask and prioritize under tight deadlines.
