Job Description

Roles & Responsibilities

Coordinate all activation activities for assigned events from setup to dismantling.

  • Create detailed event timelines, task checklists, and resource plans.
  • Track project milestones and ensure timely completion of deliverables.
  • Maintain clear documentation of project progress, approvals, and client requirements.

Team & Operations Management

  • Supervise on-ground teams during event activations (photobooths, robots, stands, digital installations, etc.).
  • Assign responsibilities to team members and monitor performance.
  • Ensure that all team members are briefed properly on setup procedures and event objectives.
  • Support logistics (equipment transport, setup schedules, and site coordination).

Client & Stakeholder Communication

  • Act as the communication bridge between Shutter Studio and the client during project execution.
  • Ensure client satisfaction by delivering according to expectations and handling last-minute changes professionally.
  • Prepare daily progress reports during events and share updates with the Project Manager and client.

Quality & Safety Assurance

  • Verify that all activations are installed correctly and function as designed.
  • Ensure adherence to safety protocols during setup and event operation.
  • Conduct pre-event testing and post-event evaluations to identify improvements.

Desired Candidate Profile

Education: Bachelor s degree in Business, Event Management, Marketing, or related field.

Experience: 2 4 years in event coordination, project management, or activations (preferred in experiential marketing or production).

Skills Required:

  • Excellent organizational and multitasking abilities.
  • Strong communication and negotiation skills.
  • Problem-solving mindset and flexibility under pressure.
  • Familiarity with event production tools, logistics, and vendor coordination.
  • Basic technical understanding of digital activations (photobooths, AR/VR, LED systems, etc.).
  • Languages: Fluent in Arabic and English (spoken & written).
  • Availability: Willing to travel and work flexible hours (including weekends and late events).
  • Personal Attributes:
