Job Description

Roles & Responsibilities

Key Responsibilities

Project Support and Execution

  • Assist in preparing and maintaining detailed project documentation, including charters, meeting packs, and closure reports.
  • Support the tracking of project deliverables, milestones, and progress against plans.
  • Maintain accurate and up-to-date project dashboards and reporting systems.
  • Help coordinate project resources to ensure activities are completed on schedule.

Administrative Coordination

  • Organize and manage project meetings, including scheduling, agenda preparation, and note-taking.
  • Maintain comprehensive records of decisions, actions, and follow-ups.
  • Provide day-to-day administrative support to ensure smooth project operations.

Compliance and Governance

  • Assist in maintaining compliance and audit documentation to meet internal and external regulatory requirements.
  • Ensure accurate version control of all project documents and files.
  • Support adherence to governance processes and standards established by the PMO.

Process Improvement

  • Collaborate with team members to identify areas for operational improvement.
  • Suggest enhancements to project processes, tools, and reporting practices.
  • Participate in post-project reviews to capture lessons learned.

Required Qualifications and Experience

  • 3-6 years of experience in project coordination, business analysis, or a related role.
  • Exposure to at least one functional domain area, such as:
    • Customer Experience (CX)
    • Technology / Digital Transformation
    • Pensions or Investments
    • Collections or Fraud Management
    • Medical or Healthcare Services
    • Strategy Development and Execution
  • Strong organizational and multitasking skills, with the ability to manage multiple priorities simultaneously.
  • Attention to detail and a commitment to maintaining high-quality documentation.
  • Good verbal and written communication skills to collaborate effectively with diverse teams.
  • Proficiency in MS Office and familiarity with project management tools (e.g., Microsoft Project, Jira, Asana, or similar).

Preferred Qualifications

  • Bachelors degree in Business Administration, Management, Information Technology, or a related field.
  • Knowledge of project management frameworks or certifications, such as CAPM, PRINCE2 Foundation, or Agile Fundamentals.
  • Experience supporting projects in public sector, financial services, or other regulated industries.
