Roles & Responsibilities

Job Overview:

The Operation Manager is responsible for overseeing and improving the day-to-day operations of the organization. This includes managing operational efficiency, ensuring compliance with health & safety regulations, maintaining security protocols, handling the insurance renewal process, and overseeing company vehicles and insurance coverage. The role requires a strategic thinker with strong leadership skills, attention to detail, and an ability to manage multiple tasks across various departments.


Key Responsibilities:

1. Operational Management:

  • Oversee daily operations to ensure smooth and efficient functioning across departments.
  • Develop and implement operational strategies to enhance productivity and minimize operational costs.
  • Monitor and assess operational performance and take corrective action where necessary.
  • Coordinate with department heads to ensure alignment with organizational goals.
  • Analyze operational processes and recommend improvements for enhanced efficiency.

2. Health & Safety Compliance:

  • Develop, implement, and regularly review health & safety policies in accordance with local regulations.
  • Ensure all staff are trained and aware of health and safety protocols.
  • Manage and track workplace injuries or incidents, ensuring timely reporting and resolution.
  • Liaise with health & safety authorities to ensure compliance with Abu Dhabi and UAE standards.

3. Security Management:

  • Ensure the security of company premises, assets, and personnel by establishing and maintaining security protocols.
  • Collaborate with security teams to manage and monitor security systems.
  • Oversee the hiring and training of security personnel.

4. Vehicle Fleet Management:

  • Manage the company’s vehicle fleet, ensuring all vehicles are maintained in good working order.
  • Oversee vehicle maintenance schedules, servicing, and repairs.
  • Monitor vehicle usage and fuel consumption to optimize costs.
  • Ensure that vehicles are compliant with all local regulations, including registration and insurance.

5. Insurance Renewals (Non-Medical & Medical Insurance):

  • Oversee the renewal process for all company insurance policies, including non-medical and medical insurance.
  • Liaise with insurance providers to ensure timely renewals and competitive pricing.
  • Ensure all employees are covered under the appropriate insurance plans, including health, life, and vehicle insurance.
  • Conduct regular reviews of insurance coverage to ensure the company’s needs are being met.
  • Maintain accurate records of all insurance documents and policy details.

6. Coordination with External Vendors and Authorities:

  • Manage relationships with external vendors for health & safety equipment, insurance, security services, and fleet maintenance.
  • Coordinate with relevant local authorities to ensure all operations comply with regulatory standards in Abu Dhabi and the UAE.

7. Budgeting & Financial Oversight:

  • Manage budgets related to operational expenses, vehicle fleet maintenance, insurance premiums, and health & safety measures.
  • Analyze operational costs and make recommendations for cost-effective improvements.

8. Reporting & Documentation:

  • Prepare regular reports on operational performance, health & safety audits, insurance renewals, and security incidents for senior management.
  • Maintain comprehensive records and documentation for all operational processes.

9. Policy Creation & Implementation:

  • Develop, implement, and regularly review operational policies and procedures to ensure consistency and efficiency across the organization.
  • Ensure policies align with local laws, industry standards, and company goals.
  • Work with senior management to draft, revise, and approve new policies.
  • Communicate and train employees on new policies, ensuring they are fully understood and adhered to.
  • Regularly audit policy compliance and effectiveness, adjusting policies as needed to improve operational efficiency and compliance.

Desired Candidate Profile

Qualifications:

  • Education: Bachelor's degree in Business Administration, Operations Management, or related field. A Master’s degree or relevant certifications.
  • Experience: Minimum 5 to 7 UAE years of experience in operational management, preferably in FMCG.
  • Knowledge: Strong understanding of health & safety regulations, security protocols, fleet management, and insurance processes in the UAE.

Skills:

    • Excellent leadership and team management skills.
    • Strong organizational and problem-solving abilities.
    • Ability to handle multiple tasks and priorities effectively.
    • Strong communication skills, both written and verbal.
    • Proficiency in MS Office and other relevant operational software.
