Job Description
Roles & Responsibilities
We are seeking a highly organized, detail-oriented, and proactive *Operations Assistant* to support the smooth day-to-day functioning of our creative agency. The ideal candidate will be responsible for coordinating administrative tasks, assisting with project and resource management, and supporting interdepartmental communication to ensure operational efficiency.
Key Responsibilities:
Administrative & Office Support:
* Manage scheduling, internal calendars, and meeting coordination for leadership and project teams.
* Handle general office duties including filing, correspondence, document preparation, and supply management.
* Support HR tasks such as onboarding new hires and maintaining employee records.
Project & Workflow Coordination
* Assist in tracking project timelines, deliverables, and team assignments.
* Liaise between creative, accounts, and production teams to ensure deadlines are met.
* Maintain project management tools with up-to-date task status and documentation.
Operations & Process Support:
* Help maintain internal processes, templates, and SOPs.
* Assist in the preparation of internal reports, presentations, and operational dashboards.
* Support budgeting, invoicing, and vendor management under the direction of the Operations Manager.
Client and Vendor Coordination:
* Coordinate with external suppliers and freelancers regarding scheduling, contracts, and deliverables.
* Support client communications when needed, especially for logistics and planning.
Qualifications:
* Bachelor s degree in Business Administration, Communication, or related field.
* 1 3 years of experience in operations, project coordination, or administrative roles preferably in a creative or agency environment.
* Strong organizational and multitasking skills.
* Excellent verbal and written communication.
* Proficiency with Microsoft Office, Google Workspace, and project management tools.
* Familiarity with creative industry workflows (design, marketing, production) is a plus.
