Job Description
Roles & Responsibilities
The Administrator – Landscaping Division provides administrative, coordination, and reporting support to landscaping and construction projects. The role ensures smooth day-to-day operations with experience in Petty Cash handling & Document Controlling ,supporting management, site teams, suppliers, and clients through effective documentation, scheduling, and communication. The position requires experience in landscaping or construction.
1. Administrative & Office Support
- Handle daily administrative tasks for the landscaping division
- Maintain organized project files, records, and documentation
- Prepare correspondence, reports, and internal communications
- Coordinate communication between management, site teams, and office departments
2. Project & Site Coordination
- Assist in scheduling site activities, manpower, and material deliveries
- Visit project sites as required for coordination and documentation
- Collect, compile, and update daily site reports and progress data
- Liaise with site supervisors and project managers
3. Client, Vendor & Supplier Coordination
- Communicate with clients regarding documentation, approvals, and follow-ups
- Coordinate with suppliers and subcontractors for quotations, orders, and deliveries
- Maintain accurate client and vendor records
4. Documentation & Compliance
- Prepare and maintain project documentation such as contracts, permits, and approvals
- Ensure project-related records, licenses, and insurance documents are up to date
- Support internal audits and compliance requirements
5. Reporting & Excel-Based Data Management
- Maintain Excel spreadsheets for manpower, materials, costs, and project tracking
- Prepare weekly and monthly operational and progress reports
- Ensure data accuracy and timely submission of reports
Desired Candidate Profile
QUALIFICATION
Any Graduation
EXPERIENCE
· Minimum 2– 4 years of administrative experience
· Previous experience in landscaping or construction industry is required
SKILLS
· Strong proficiency in Microsoft Excel (tracking, reporting, formulas)
· Good working knowledge of MS Word and email systems
· Excellent organizational and time-management skills
· Strong communication and coordination abilities
· Ability to work independently and manage multiple tasks
· Valid UAE driving license (mandatory)
