Roles & Responsibilities

SCOPE OF THE JOB:

The Inventory & Procurement Control Specialist is responsible for tracking all inventory movements while maintaining accurate digital records. He/she is also responsible for sourcing and evaluating suppliers, managing quotations, purchase orders, invoices and procurement contracts, while ensuring full compliance with company policies and cost-efficiency goals.

KEY RESPONSIBILITIES:

Stock Controller

  • Monitor and record weekly stock movements, including receptions, returns, transfers, and adjustments.
  • Verify product returns against credit notes and promptly address any discrepancies.
  • Identify and claim discrepancies related to returns and pending receptions.
  • Track expected vouchers and validate them against actual receipts.
  • Investigate variances in received goods, submit claims to suppliers, and follow up for confirmations and credit notes.
  • Process stock adjustments in alignment with issued credit notes and prepare the corresponding PV.
  • Reconcile stock discrepancies across Retail Pro, supplier invoices, and credit notes.
  • Liaise with store managers, back-office teams, and the Adidas team to resolve stock variances.
  • Generate weekly, monthly, and annual inventory reports.
  • Assist in annual and periodic stock counts to ensure inventory accuracy.
  • Maintain organized and up-to-date digital records of all inventory documentation.
  • Coordinate inter-store stock transfers, resolve any inconsistencies, and arrange related shipments.
  • Manage inter-company shipments across countries, ensuring accuracy and timely execution.

Procurement

  • Source and procure required supplies, equipment, and services for 13 Adidas store locations.
  • Request, evaluate, and compare supplier quotations to ensure competitive pricing and quality.
  • Monitor order confirmations, delivery timelines, and lead times to ensure timely fulfillment.
  • Maintain up-to-date supplier databases, price lists, and procurement records.
  • Follow up on supplier invoices, resolve discrepancies, and manage product returns when necessary.
  • Contribute to budgeting efforts and support cost-saving initiatives across all stores.
  • Coordinate and communicate effectively with suppliers, the accounting team, and store managers.
  • Ensure all procurement activities comply with internal policies, procedures, and standards.
  • Oversee the management of procurement-related contracts such as cleaning services, consumables, music providers, fire alarm systems, pest control, and other operational services.

Maintenance

  • Receive, document, and track maintenance requests from all store locations.
  • Prioritize issues and assign work orders to approved maintenance vendors based on urgency and scope.
  • Monitor repair progress and ensure timely and effective resolution of maintenance tasks.
  • Oversee maintenance contracts, including HVAC, electrical, security systems, and other essential services.
  • Maintain detailed databases of suppliers, service schedules, warranties, and maintenance records.
  • Monitor and ensure compliance with preventive maintenance schedules across all stores.
  • Collect, review, and validate maintenance invoices prior to submission to the accounting department.
  • Identify and report recurring issues, repair costs, and equipment failures to support operational improvements.
  • Coordinate with landlords and mall management teams as needed to resolve facility-related matters.
  • Ensure all stores adhere to Adidas brand standards and operational maintenance guidelines.
  • Perform other duties that are aligned & related to the job scope.

Desired Candidate Profile

JOB REQUIREMENTS:

  • Education: Bachelor Degree in Business Administration or equivalent.
  • Experience: 2 to 4 years of experience in the field, retail experience is a plus.
  • Linguistic Skills: Advanced in written & spoken English.
  • Computer Skills: Extensive knowledge in Ms. Office, especially in Excel. Navision experience is a plus.
