Roles & Responsibilities

Position Overview

The HR/Admin Assistant will provide administrative and clerical support to ensure efficient operation of the HR and administration functions. The role involves handling HR-related documentation, assisting in recruitment, maintaining employee records, supporting day-to-day office operations, and serving as the first point of contact for clients and visitors.

The ideal candidate will be detail-oriented, organized, and able to maintain a high level of confidentiality.


Key Responsibilities:

Human Resources Support:

• Assist in recruitment activities including job postings, CV screening, interview scheduling, and candidate coordination.

• Maintain and update employee records in both digital and physical formats.

• Support the onboarding process by preparing orientation materials, coordinating inductions, and ensuring proper documentation.

• Assist with HR letters, memos, certificates, and related correspondence.
Track attendance, leaves, overtime, and assist in payroll processing coordination.

• Support in employee relations, grievance handling, and communication of HR policies.

Administrative Support:

• Manage office supplies, stationery, and equipment inventory; coordinate purchase requests.

• Handle correspondence, filing, and documentation to ensure efficient record management.

• Coordinate travel arrangements, hotel bookings, and transportation for staff and visitors.

• Support in organizing meetings, preparing agendas, and drafting minutes of meetings.

• Assist in maintaining compliance with company policies, procedures, and labor regulations.

General Support:

• Serve as a point of contact for employees’ HR and administrative queries.

• Liaise with external service providers (e.g., recruitment agencies, travel agencies, government offices).

• Provide support in HR projects, employee engagement initiatives, and office events.

• Ensure confidentiality of sensitive HR and company information.

Qualifications & Requirements

• Bachelor’s degree in Human Resources, Business Administration, or related field.

• 2–4 years of experience in HR and/or administrative roles (experience in consulting or engineering industry is a plus).

Knowledge of HR processes, Saudi labor law, and office administration practices.

• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

• Strong communication (English and Arabic preferred), organizational, and interpersonal skills.

• Ability to handle multiple tasks, prioritize effectively, and work under minimal supervision.

• High level of integrity, discretion, and professionalism.

Requirements:

• Bachelor’s degree or diploma in Business Administration (or related field)

• 2-4 years’ experience in administration (engineering/consulting sector preferred)

• Proficiency in MS Office Suite
Strong English communication skills (Arabic preferred)

• Organized, adaptable, and professional.
