Roles & Responsibilities
Job summary:
The purpose of this role it to oversee and manage daily operations assigned by the direct supervisor. They are responsible for coordinating and improving various processes to ensure workflow is smooth, operational goals are achieved, and overall efficiency is improved in accordance with the internal policies and operational procedures of the organization.
The role also requires facilitating effective coordination of different operational activities within the organization. The responsibilities of this position are essential to ensure daily operations run smoothly, helping the organization achieve its objectives and goals in alignment with its future vision and strategy.
The Operations Executive serves as a central point of contact by collaborating with other departments to streamline processes, solve problems, and maintain overall operational excellence.
Key responsibilities:
•Administrative Support: Provide administrative assistance to the operations team, including document management, scheduling, and handling communications with internal and external stakeholders.
•Task Coordination: Assist in coordinating and scheduling tasks or projects within the operations department, ensuring deadlines are met and resources are efficiently allocated.
•Data Management: Maintain and update databases, spreadsheets, and other systems to track and manage operational information, such as inventory, budgets, and project status.
•Communication: Facilitate effective communication between departments and teams within the organization to ensure smooth information flow and everyone is informed of operational updates.
•Process Improvement: Identify areas for improvement within operational processes and workflows, and suggest solutions to the direct supervisor to streamline and enhance efficiency.
•Reporting: Prepare regular reports on operational performance, key performance indicators (KPIs), and other relevant metrics, and present them to the direct supervisor.
•Vendor Management: Assist in managing relationships with vendors, including placing orders, tracking deliveries, and resolving any issues that arise in a timely manner.
•Compliance and Safety: Ensure that operational activities comply with internal policies, standard operating procedures, and safety standards as applied within the organization.
•Problem Solving: Collaborate with team members to identify and resolve operational issues and challenges that may arise during daily activities.
•Travel Bookings: Handle travel bookings for employees and assist the reservations team with completing other bookings (transportation, accommodation, health insurance, etc.).
•Documentation and Reporting: Maintain records of ongoing operations, accurately document operational outcomes, and prepare regular reports and continuous updates for the direct supervisor and relevant departments.
Desired Candidate Profile
Qualifications, experience, and skills
Education and certifications:
•Fresh graduate.
•Bachelor’s degree in business administration / Operations Management / Tourism Management
Experience:
•Proficiency in computer applications (Microsoft Office: Excel, Word, PowerPoint)
•Familiarity with supporting digital/web services
•General understanding of travel systems and related operations
•Experience in the travel and tourism office sector is an added advantage
Skills:
•Proficiency in Arabic and English (spoken and written)
•Attention to detail
•Ability to provide administrative solutions quickly
•Flexibility in working hours and willingness to work overtime if needed
•Ability to work both as part of a team and independently
