Job Description

Job Title: Freight Forwarding Officer

Job Purpose:

The Freight Forwarding Officer is responsible for managing all day-to-day operations of ASYAD Logistics in the field of shipping and customs clearance, including export and import shipments of all kinds. Works as the main point of contact with customers, responsible for all customer-related activities such as providing offers, managing requests, bookings, solving problems, preparing reports, and conducting business reviews.

Strategic Responsibilities:

  • Follow up on customs regulations and commercial compliance requirements to ensure smooth customs clearance processes.
  • Implement corrective actions to address any discrepancies or quality issues.
  • Develop professional knowledge and keep abreast of the latest developments in the shipping industry by participating in training courses, workshops, and participating in conferences and specialized events.
  • Represent ASYAD Logistics shipping and transportation operations professionally at all times.

Operational Responsibilities:

Shipment Coordination:

  • Plan and organize local and international shipments and ensure their implementation on time.
  • Coordinate with customers, suppliers, and cargo carriers to facilitate transportation operations and continuous monitoring of shipments.
  • Manage customer, sender, and recipient relationships effectively to ensure their full satisfaction.
  • Communicate with internal and external offices, agents, and air, sea, land transport companies, and customs clearance agents.

Document Management:

  • Prepare and review all shipping documents accurately to reflect the details of shipments accurately, including invoices, transport documents, packing lists, and customs papers, to ensure compliance with regulations and approved standards.
  • Monitor the quality of invoices and ensure that they match internal price offers and key performance indicators.

Customs Compliance:

  • Cooperate with customs clearance agents to facilitate clearance operations at borders and ensure compliance with regulations.

Shipment Tracking and Reporting:

  • Use shipment tracking systems to monitor shipments and provide accurate updates to stakeholders.
  • Prepare periodic reports on the status of shipments, transit times, and delivery performance.

Coordination with Suppliers:

  • Coordinate with transport companies and shipping agents to ensure the organization of receipt and delivery schedules efficiently.
  • Maintain positive professional relationships with suppliers to ensure service quality.

Problem Solving and Quality Assurance:

  • Identify potential problems in shipments and take preventive measures to avoid any disruption.
  • Conduct comprehensive inspection and review of shipments to ensure compliance with approved quality standards and company policies.

Customer Service:

  • Act as the main point of contact with customers and answer their inquiries and follow up on shipments.
  • Deal with any shipping-related issues quickly and effectively to ensure customer satisfaction.
