Job Description
Roles & Responsibilities
To oversee effective maintenance and servicing of the company’s bulk and packaged transport fleet in compliance with safety, quality and operational standards. The Fleet Maintenance Manager is responsible for preventive and breakdown maintenance planning, minimizing vehicle downtime and optimizing fleet performance while ensuring compliance with company policies and international standards.
- Lead the planning and execution of preventive, predictive, and corrective maintenance programs for the full fleet of both bulk and packaged distribution trucks and trailers
- Implement, monitor, and improve the preventive maintenance program for all fleet vehicles, ensuring scheduled services are completed and maintenance records are updated
- Conduct daily and weekly vehicle inspections; review and follow up on issues highlighted in distribution checklists to ensure swift resolution.
- Coordinate corrective and emergency maintenance, utilizing both internal workshop resources and external vendors to minimize vehicle downtime as pe the assigned outsourced purchase (OSP) limitations
- Maintain complete and accurate maintenance history per vehicle including the timely creation of work orders and purchase requisitions (PRs).
- Manage all fleet maintenance costs, including maintenance expenses, workshop invoices, spare parts consumption, and service provider contracts
- Develop and manage the fleet maintenance budget, identifying cost-saving opportunities without compromising on quality or compliance
- Lead the inventory planning for spare parts, tools, and consumables; coordinate with purchasing and stores to ensure optimal stock levels, reduce wastage, and prevent downtime
- Analyze vehicle performance and maintenance data to identify trends, improve asset reliability, and optimize fleet availability and utilization.
- Oversee lifecycle management of fleet assets, including replacement planning, technical upgrades, and capital expenditure recommendations to improve long-term efficiency.
- Maintain vendor relationships, evaluate service providers and ensure third-party or OSP work meets company standards and contractual obligations.
- Propose capital improvements or technical upgrades that support long-term fleet reliability and efficiency
- Manage maintenance team performance, including shift planning, leave scheduling, training needs, and workforce optimization.
- Coordinate with HSE and relevant stakeholders to investigate the root cause of fleet accidents, breakdowns, and near-misses, ensuring corrective/preventive actions are implemented.
- Ensure full compliance with company SOPs, transportation safety regulations, and data integrity practices across all maintenance operations.
- Provide daily operational updates and strategic recommendations to the Group Distribution Manager to improve maintenance efficiency and reduce operating costs.
- Monitor and verify appropriate usage of spare parts; ensure transparent requisition and issue processes aligned with approved budgets.
- Oversee spare parts inventory management in coordination with procurement and stores to avoid critical shortages
- Promote a strong safety culture, lead by example in adherence to IMS, QHSE policies and support employee awareness of hazards and safety protocols
- Lead root cause analysis investigations for major breakdowns and accidents, working closely with the HSE team
- Maintain relationships with OEMs, service providers and regulatory bodies for inspections, recalls and compliance matters
- Participate in cross-functional initiatives to optimize distribution and logistics support, reduce environmental impact and align with sustainability goals
- Remain up to date with industry best practices, including those applied by leading companies and adopt innovations where applicable
- Strong technical knowledge of diesel engines, tankers, and trailer systems
- Planning and scheduling preventive maintenance
- Data analysis for predictive maintenance and cost tracking
- Staff supervision and workshop operations management
- Excellent communication and vendor negotiation skills
- Familiarity with international transport safety regulations
Minimum 7–10 years in fleet maintenance management preferably in medical or industrial gas, logistics, or heavy commercial transport industries
Education: Bachelor’s degree in mechanical or automotive engineering or a related technical field
