Roles & Responsibilities
The Facilities Manager shall ensure that all aspects of the services are delivered in line with best practice standards and in full compliance with the requirements and terms of the contract. The role includes managing the day-to-day maintenance activities of the FM team, supervising specific operational tasks as assigned by the Senior Manager, and providing management support across all program components. In the absence of the Senior Manager, the Facilities Manager will be required to act in their capacity, ensuring continuity of operations and effective leadership of the facility management function.
Desired Candidate Profile
Key Responsibilities of a Facility Supervisor 1. Facility Operations & Maintenance * Oversee daily operations and maintenance of all villas, buildings, and related infrastructure within the managed properties. * Supervise maintenance teams, contractors, and service providers to ensure timely, efficient, and high-quality work. * Schedule and monitor preventive maintenance activities for HVAC, electrical, plumbing, civil, and other building systems. * Conduct regular inspections to identify maintenance requirements, safety risks, and areas for improvement. 2. Vendor & Contractor Management * Source, evaluate, and manage external vendors and contractors for maintenance, cleaning, security, landscaping, and other facility services. * Ensure compliance with company standards, budgets, and service-level agreements (SLAs). * Review and approve work orders, service reports, and invoices to verify quality and cost-effectiveness. 3. Health, Safety, and Compliance * Motivate and lead subordinates to execute and perform job responsibilities for maximum productivity while maintaining a high degree of moral. * Implement and oversee safety procedures and emergency response plans, including fire drills and evacuation protocols. * Maintain up-to-date documentation of inspections, certifications, and compliance reports. 4. Budgeting & Cost Control * Assist in the preparation of annual maintenance budgets and track expenditures against approved budgets. * Identify opportunities to optimize costs and improve operational efficiency. * Approve and oversee the procurement of maintenance materials, tools, and equipment in line with budgetary limits. 5. Tenant & Client Relations * Serve as the primary point of contact for tenants regarding facility-related issues and service requests. * Ensure prompt and effective resolution of maintenance complaints to maintain tenant satisfaction. * Communicate maintenance schedules, project updates, and service activities to tenants and clients. 6. Asset Management & Reporting * Maintain accurate records of assets, maintenance schedules, service logs, and equipment histories. * Support property managers by providing facility performance data, maintenance reports, and recommendations. * Identify and propose capital improvement projects to enhance property value and operational reliability. 7. Sustainability & Energy Management * Implement energy-saving measures and monitor utility consumption to promote efficiency. * Encourage environmentally responsible practices such as waste reduction, recycling, and water and electricity conservation. Bachelor’s/Master Engineering degree or equivalent (Mechanical, Electrical or Civil. FM related specialized qualification is preferred (CFM or other FM courses).
