Job Description

Roles & Responsibilities

Developing and implementing the Facilities and Maintenance section strategy considering sustainable growth.

Obtaining organization’s assets overall good conditions and operational functionality such as: machinery, tools, technical equipment and buildings services ensuring that a workspace is meeting safety regulations all the time.

Managing the day-to-day Facilities and Maintenance operations while maintaining high quality standards and ensuring the prompt and efficient delivery of services offered.

Lead the Section’s Financial Performance

  • Prepare and manage the Facilities and Maintenance annual budgets ensuring that adequate provision is made for all activities and monitored expenditure against approved budgets.
  • Participate in boosting the cash flow through conducting regular financial analysis in order to suggest cost optimisation initiatives.
  • Best utilize the available resources to improve the facilities financial performance.

Lead the Section’s Customer Satisfaction Performance

  • Manage tenants’ complaints related to facilities and maintenance services and address their concerns effectively.
  • Promote a culture of customer happiness among the facilities and maintenance team to enhance the organization brand image.
  • Conduct on-going studies and benchmarking studies regarding the Facilities and Maintenance in real estate, latest market trends, competitors’ activities and future economic conditions in order to suggest improvement actions that may enhance the profitability.
  • Build strong rapports with local authorities, business leaders, suppliers, service providers and contractors to facilitate smooth business communications.
  • Strengthen the relationship with all main stakeholders by obtaining sustained high satisfaction rate.

Lead the Section’s Internal Business Processes Performance

  • Develop and update an agile Facilities and Maintenance strategic plan with the supported policies and procedures as per the approved standards.
  • Acquire 3rd parties qualified maintenance contractors as per business needs including all technical terms and conditions required.
  • Manage the overall processes of 3rd parties’ contracts negotiation, implementation and termination when applicable.
  • Develop and implement maintenance plans and strategies in alignment with annual business plans, policy and procedures.
  • Provide support to other business units ensuring operations and core activities are not disturbed due to maintenance lack or delay.
  • Plan routine assessments and emergency repairs with external suppliers.
  • Set security measures in collaboration with security system suppliers and/or a team of internal security professionals.
  • Track the performance of assigned resources and ensure the outcomes are met as per the agreed expectations
  • Provide update and relevant metrics regarding maintenance, repair and safety status to main stakeholders accurately and on time.
  • Function the annual maintenance contracts for residentials and commercial properties.
  • Lead the regular evaluation process of the current conditions of mechanical, electrical, plumping, HVAC systems and other essential FM equipment in addition to soft services management.
  • Build an effective responding mechanism to take appropriate actions toward emergencies or urgent issues that might arise from any of the sites.
  • Design and implement appropriate preventive and predictive maintenance plans to enhance operational productivity.
  • Prepare accurate predictions for spare parts usage in order to manage the availability of critical spare parts and minimize downtimes.
  • Develop procurement strategies for technical equipment and spare parts while implementing cost control tracking measures to optimise the cost of parts and maintenance expenses.
  • Respond immediately to tenants move-out process in order to start the maintenance duties and reduce the average number of days to lease.

Audit, compliance & risk Management

  • Evaluate potential risks and challenges in order to develop appropriate mitigation plans.
  • Ensure the adherence of facilities with current health & safety laws and regulations all the time.
  • Take part in internal and external audit activities to ensure adequate controls are being implemented.
  • Ensure compliance with contractual payment policy terms and conditions.
  • Participate in building a culture of compliance and accountabilities awareness through inspiring a frame work of standardized processes and confirming facilities and maintenance operations adherence to all laws, rules, regulations, internal policies and procedures all the time.

Reporting, processes & system

  • Set operating guidelines, frameworks and ensuring availability of required systems, digital tools, resources and support for effective implementation and execution.
  • Manage the implementation and improvement of facilities and maintenance ERP systems and other applications that enhance effectiveness of the operational processes.

Lead the Section’s Learning and Growth Performance

  • Initiate and manage the change, expanding and growth through proactive transformation initiatives.
  • Ensure that the Facilities and Maintenance operations teams are effectively coached and trained as per CEO and board members’ expectations.
  • Develop a creative and innovative environment to encourage the team to come up with new ideas which lead to a competitive advantage, further growth and profitability.
  • Manage relevant metrics and analysis reports, set and delegate key performance indicators and activities to ensure targets are met by the team.
  • Regularly monitor and provide positive feedback regarding team achievements, ensure high motivation levels, understand training and development needs and provide insights for improvement of individuals’ performance.
  • Perform any other relevant tasks assigned by the line manager.

Desired Candidate Profile

  • Bachelor’s Degree in Engineering (e.g., Mechanical, Industrial or Electrical) or an equivalent qualification.
  • Preferably master’s degree in Engineering or relevant field.
  • Additional professional Certification such as PMP or similar will be an advantage.
  • Excellent knowledge of facilities and maintenance and relevant systems and technologies.
  • Minimum of 10 +years of relevant work experience in real estate sector where 5+ as facilities and maintenance manager position in UAE.
  • Demonstrated experience in Facilities and Maintenance operations in real estate sector.
  • Competent in efficiently allocating resources with tracking record.
  • Ability to prioritize various deadlines and balance multiple requests at one time.
  • Entrepreneurial thinking toward designing competitive business strategy and leading its implementation.
  • Have a successful track record of leadership in a complex organisation in real estate sector.
  • Obtain strong macro and microeconomic real estate market knowledge.
  • Ability to maintain credible business relationships through obtaining excellent negotiation skills.
  • Familiarity with UAE governmental laws and procedures related to real estate Facilities and Maintenance.
  • Strong change and project management competencies.
  • Strategic business orientation while maintaining attention to details.
  • Good Knowledge of Health, Safety & Environment standards.
  • Advance presentation skills and ability to influence internal and external stakeholders.
  • High proficiency in MS office applications.
  • Excellent verbal and written communication in business English, Arabic language will be an advantage.
