Roles & Responsibilities
We are seeking a highly organized and detail-oriented Executive Secretary to support senior leadership in a dynamic and fast-paced Signage & Outdoor Advertising company based in the UAE.
The ideal candidate must have a minimum of 7–10 years of experience in executive-level administrative support, preferably within the signage, advertising, or media industries. This role is vital to ensuring efficient internal coordination, smooth communication, and high-level executive assistance.
Key Responsibilities:
- Executive Support: Provide comprehensive administrative assistance to the CEO and senior management, including calendar management, meeting coordination, and travel arrangements.
- Communication Management: Handle all incoming and outgoing communications on behalf of executives with professionalism and discretion.
- Document Preparation: Draft, review, and manage business correspondence, reports, presentations, and internal memos with a high degree of accuracy.
- Meeting Coordination: Schedule, organize, and prepare materials for meetings, conferences, and client presentations. Take and distribute minutes as needed.
- Confidential Recordkeeping: Maintain confidential records, project files, and official documentation with precision and discretion.
- Stakeholder Coordination: Serve as a liaison between internal departments and external stakeholders, ensuring timely information flow and project tracking.
- Travel & Logistics: Arrange international and domestic travel, accommodation, and related logistical support for top executives.
- Event & Project Support: Assist in organizing company events, exhibitions, and board-level functions within the signage and outdoor advertising sector.
- Follow-Up & Task Management: Ensure follow-ups on executive directives, deadlines, and project updates to maintain smooth business operations.
- Industry Awareness: Stay informed about signage and media industry trends to support executives in decision-making and communications.
Desired Candidate Profile
Qualification:
- Bachelor’s degree in Business Administration, Office Management, or a related field.
- Secretarial Diploma or certification in Executive Assistance/Office Administration is mandatory.
- Additional training in communication, records management, or business etiquette is a plus.
Experience:
- Minimum 7–10 years of experience as an Executive Secretary or Executive Assistant, with at least 3–5 years supporting C-level executives in the signage, outdoor advertising, media, or related industries.
Skills & Expertise:
- Exceptional organizational and time management skills with the ability to prioritize tasks under pressure.
- Advanced MS Office proficiency (Word, Excel, PowerPoint, Outlook); familiarity with office management tools and scheduling software.
- Excellent verbal and written communication skills in English (Arabic is a plus).
- High level of discretion, confidentiality, and professionalism when handling executive matters.
- Strong interpersonal skills with the ability to coordinate across multiple departments and external stakeholders.
- Detail-oriented mindset with proven ability to manage travel plans, meetings, and executive reporting.
- Ability to handle multiple tasks with speed and accuracy in a deadline-driven environment.
