Job Description

Roles & Responsibilities

  • Organize executive meetings, board meetings, and industry events.
  • Record, transcribe, and distribute accurate and well-structured meeting minutes.
  • Follow up on action items to ensure timely completion.
  • Manage the Manager s calendar, prioritize appointments, and schedule internal and external meetings.
  • Coordinate complex domestic and international travel arrangements, including itineraries, visas, accommodations, and logistics.
  • Prepare, proofread, and format professional reports, presentations, and correspondence, particularly those related to financial operations and strategic initiatives.
  • Maintain records, contracts, agreements, and confidential documents in secure filing systems, ensuring compliance with company policies.
  • Expecting the Manager s needs by preparing background information, briefing notes, and necessary documentation ahead of engagements.
  • Act as the primary point of contact between the Manager and internal/external stakeholders.
  • Draft and distribute professional communications, including memos, minutes of meeting, and board updates.
  • Liaise with department heads, clients, regulators, and industry partners.

Desired Candidate Profile

  • Education: Bachelor s degree in Business Administration, Finance, or related field preferred.
  • Experience: +5 Proven experiences as an Executive Assistant or Secretary.
  • Knowledge/skills: Advanced proficiency in Microsoft Office - High confidentiality, professional demeanor.
  • Languages: Very good in English.
  • Attention to Detail & Accuracy.
  • Data Proficiency.
  • Organizational & Time Management .
