Job Description

Roles & Responsibilities

Administrative Support


Manage daily office operations, including scheduling, filing, correspondence, and document handling

Organize and track delivery of documents and product samples

Maintain office supplies, records, and ensure smooth workflow across departments


Sales & Marketing Assistance


Support sales and marketing teams in the execution of events, trade shows, and promotional activities

Assist with logistics arrangements for campaigns, client meetings, and product launches

Prepare presentation materials, reports, and meeting notes as required


Executive Support


Assist Corporate Managers with external coordination, scheduling, and communications

Provide translation and interpretation (English ↔ Chinese) for business meetings, documents, and correspondence

Handle confidential information with discretion and maintain professional relationships with partners and stakeholders


Cross-functional Coordination


Act as a liaison between internal teams (sales, marketing, logistics, and finance) to ensure alignment

Support in preparing reports, business documents, and data entry for decision-making processes

Ensure deadlines are met by tracking and following up on pending tasks


Desired Candidate Profile

  • Proven experience as an Executive Assistant, Office Administrator, or similar administrative role (experience in UAE preferred)
  • Strong knowledge of UAE document processes, business etiquette, and administrative procedures
  • Valid UAE driving license (preferred) to support external errands and deliveries
  • Fluency in English and Chinese (both written and spoken) is required
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and digital communication tools
  • Strong organizational, time management, and multitasking skills
  • Ability to thrive in a fast-paced, startup environment with shifting priorities
  • Excellent communication and interpersonal skills with a professional attitude
