Job Description
Roles & Responsibilities
The Role
We re seeking detail-oriented Executive Assistants with strong experience in Canva, CRM systems, ZipForms, and administrative support. You ll work directly with real estate professionals to manage operations, create marketing materials, handle contracts and forms, and keep the business running smoothly.
This role is perfect for someone who is tech-savvy, highly organized, and proactive, with a solid understanding of the US real estate industry.
Key Responsibilities:
-Admin Operations
- Manage inboxes and calendars
- Organize Google Drive and digital assets
- Tag, clean, and maintain CRMs
- Build SOPs and operational playbooks
-Operations Support
- Schedule appointments and coordinate client gifting
- Handle inbound calls and follow-ups
- Maintain database hygiene and internal records
-Marketing Execution
- Create flyers, branded social media assets, and listing presentations in Canva
- Schedule content across platforms
- Build funnels, landing pages, and send weekly newsletters
-Real Estate Support
- Prepare and process contracts, disclosures, and addendums in ZipForms (or similar platforms like Dotloop, Skyslope, or DocuSign)
- Support transaction coordination and ensure compliance with documentation
- Communicate with clients, vendors, and agents in a professional manner
-Executive Support
- Book travel and appointments
- Track expenses and finances
- Manage vendors, logistics, and personal to-dos
- Prepare weekly reports and summaries
Note: You may not be expected to do every task listed above. Once matched with a client, you ll receive training for the specific responsibilities relevant to their needs.
Desired Candidate Profile
Must-Haves
- Fluent English (spoken & written) with a neutral accent
- Professional appearance and business etiquette
- Highly organized, dependable, and proactive
- Strong problem-solving skills with attention to detail
- Tech-savvy and adaptable to new tools and systems
- Skilled at leveraging AI tools for productivity
- Proficient with business platforms such as Slack, Trello, Canva, CRMs, Zoom, GoHighLevel (GHL), and Zapier
- Familiarity with real estate forms and contracts (ZipForms, Dotloop, Skyslope, or similar)
- Comfortable with structured processes, meeting deadlines, and receiving constructive feedback
- Available to work US business hours, Monday Friday
- Experience in the US real estate industry is an advantage
Job Requirements
- Minimum 2 years of proven virtual assistant or remote admin experience
- Fluent, C1-level English with near-native spoken and written communication
- Comfortable learning and adapting to new systems quickly
- Experience using these tools: Google Workspace, Canva, GoHighLevel, CRMs, ZipForms
- Strong understanding of business etiquette and executive support
- Committed to long-term growth not seeking short-term gigs
