Position Summary
AUIB is seeking a dynamic and experienced Executive Assistant to drive its mission of advancing excellence in higher education through innovation, global engagement, and student-centered leadership. In this pivotal role, the Executive Assistant will provide high-level administrative support to senior leadership, manage complex scheduling and communications, coordinate cross-functional initiatives, and ensure the smooth operation of daily executive functions. Key Responsibilities
Manage complex scheduling, calendars, and travel logistics for senior leadership
Design and maintain dynamic Excel spreadsheets, dashboards, and
automated reports
Develop and implement macros and small-scale scripts to automate routine tasks
Draft, edit, and format documents, emails, reports, and presentations
Serve as the liaison between the executive office and internal/external stakeholders
Coordinate high-level meetings, take minutes, and manage follow-up actions
Handle confidential information and maintain organized digital filing
systems
Provide technical support for office systems, Teams meetings, and data
tools
Ideal Candidate Profile
1. Excellent Communication Skills Able to write and speak clearly
and professionally.
2. Strong Organizational Skills Can manage schedules, iles, and multiple tasks efficiently.
3. Discretion and Confidentiality Trusted to handle sensitive information with care.
4. Proactive and Solution-Oriented Takes initiative and solves problems independently.
5. Expert in Microsoft Excel, including pivot tables, formulas, charts, and VBA macros
6. Highly proficient in Microsoft Office Suite and digital collaboration
platforms
7. Excellent written and verbal communication skills in English
Education and Experience
Required Education: Bachelor s degree in Engineering or Business
Administration or any related ield
Years of Relevant Experience: 3+
Specific Skills or Expertise: Professional Individual
Additional Certification: Certificate in
