Job Description

Roles & Responsibilities

General Description of Role and Responsibilities:

  • Strong working knowledge of the ACONEX Document Management System, including workflows.
  • Maintain and control all technical documentation including specifications, IFC and shop drawings, vendor documents, calculation sheets, and revision instructions, both electronically and physically.
  • Create, manage, and monitor the RFI (Request for Information) process on Aconex.
  • Maintain and enforce the standard numbering protocol for letters, invoices, and documents; develop and manage an electronic filing system to ensure accessibility, traceability, retrieval, and proper document management.
  • Generate various document control reports as required.
  • Prepare and manage transmittals for all submissions.
  • Cross-reference all project tags on drawings and documents for consistency and accuracy.
  • Manage all documents within MS tools (documents, emails, workflows).
  • Ensure that all documents are properly created, reviewed, signed, stored, and backed up with accurate data.
  • Assist with document storage tasks, including scanning, copying, filing (physical/electronic), organizing, and ensuring safety and security of records.
  • Incorporate all project documentation into the server and retrieve as required by the project team.
  • Implement and maintain a coordinated filing system; ensure all filing is up to date and compliant with ISO procedures (if applicable).
  • Control, track, and issue complete project documentation.
  • Coordinate with PMC teams, Client’s Project Management / Project Controls, and Sub-Consultants regarding project documents and pending workflows.
  • Act as the primary point of contact for all project documentation.
  • Manage documents received for archiving and establish clear search string references (numbering systems) to maintain standardization.
  • Maintain strict confidentiality around sensitive documentation.
  • Provide administrative support as required by the corporate/project team.

Desired Candidate Profile

Qualifications, Experience, Knowledge and Skills:

  • Minimum of 5 years Document Control experience
  • Proven experience with Aconex on large-scale building projects is essential.
  • Act as project administrator for document control software (Aconex)
  • In-depth knowledge of document control systems and procedures.
  • A rounded profile, comfortable with working with diverse team members.
  • Effective in building good working relationships within the project team, and with project stakeholders.
  • Other duties as requested from time to time
  • Software Knowledge of AutoCAD, Revit, Share point, MS Office, Adobe CS5.
