Job Description

Roles & Responsibilities

1. Executive Support

  • Manage CEO s calendar, appointments, and travel (Egypt, Kuwait, Oman, Qatar, Bahrain).
  • Prioritize daily tasks and provide reminders and follow-ups.
  • Draft emails, memos, business letters, and LinkedIn posts on behalf of the CEO.
  • Prepare meeting minutes, summaries, action items, and ensure all points are followed.

2. Strategic & Operational Coordination

  • Follow up with all departments (Finance, Projects, Sales, HR, Support) on behalf of the CEO.
  • Track progress of priority projects (UOFC, SQU, KTech, UTAS, Qatar projects, Alumni, Admissions, Bylaws, etc.).
  • Monitor deliverables, timelines, and escalate delays.
  • Help prepare weekly CEO dashboards and reports.

3. Client & Partner Communication

  • Coordinate with clients and partners, schedule meetings, and maintain warm professional communication.
  • Follow up with universities and partners on pending actions (contracts, invoices, deliverables).
  • Support CEO in preparing proposals, presentations, and documents for key clients.

4. Office Management & HR Coordination

  • Support onboarding of new hires, contract preparation, and paperwork.
  • Coordinate office-related matters (rent, supplies, logistics).
  • Assist in organizing team events, visits, and business trips.

5. Personal & Travel Assistance

  • Handle personal appointments, travel bookings, hotel reservations, and reminders.
  • Maintain confidentiality in personal matters.
  • Support CEO in planning family travel, documents, and schedule.

6. Documentation & Reporting

  • Prepare PPTs, Excel sheets, trackers, and reports as requested.
  • Maintain organized records and filing systems.
  • Track payments, invoices, and prepare summaries for finance follow-up.

Required Skills & Qualifications

  • 3 7 years of experience as EA, Office Manager, Operations Coordinator, or similar.
  • Excellent English (spoken & written).
  • Strong skills in: PowerPoint, Excel, Google Workspace, Outlook, task trackers.
  • Ability to handle pressure, multi-task, and meet tight deadlines.
  • High confidentiality, professionalism, and communication skills.
  • Ability to work independently and take initiative.
