Job Description

Roles & Responsibilities

  • Greet and welcome guests with a warm, professional demeanor, ensuring a positive first impression of the organization.
  • Manage all incoming calls and inquiries efficiently, directing them to the appropriate personnel or department without delay.
  • Maintain the front desk area in an organized and inviting manner, reflecting the company's professionalism and attention to detail.
  • Schedule appointments and manage the calendar for staff, optimizing time slots and ensuring smooth operations.
  • Handle visitor registrations and issue visitor badges, ensuring compliance with company policies and security protocols.
  • Process incoming and outgoing mail and packages, ensuring timely delivery and proper documentation.
  • Coordinate with various departments to facilitate inter-office communications and support daily operations.
  • Assist with administrative tasks such as filing, data entry, and inventory management of office supplies.

Desired Candidate Profile

  • High school diploma or equivalent; an associate degree in business administration is preferred for enhanced administrative skills.
  • At least 3 years of experience in a reception or customer service role, showcasing the ability to manage front desk operations.
  • Fluency in English is mandatory; proficiency in additional languages is a significant advantage for diverse customer interactions.
  • Strong technical skills, including familiarity with office software (e.g., Microsoft Office Suite) and multi-line phone systems.
  • Excellent communication skills, both verbal and written, enabling effective interaction with guests and staff alike.
  • A cheerful and professional demeanor that embodies company values and enhances guest experiences.
