Job Description

Roles & Responsibilities

Date/Timings - 30th August 2025 Saturday 9:00am - 2:30pm

Inviting Walk-in at Al-Rais Holding Villa 600- Al wasl Rd- Jumeirah- Dubai


Restaurant Administration:

  • Oversee the day-to-day operations of the restaurant administration.
  • Manage administrative tasks such as filing, record-keeping, and document organization.
  • Handle correspondence, emails, and phone calls.
  • Ensure a well-organized and efficient environment.

Financial Management:

  • Oversee daily financial transactions, including cash handling, billing, and banking.
  • Prepare and review financial reports, such as sales reports, expense reports, cash control reports, and promotion & discount reports.
  • Process and manage invoices, receipts, and other financial documents.
  • Collaborate with the accounting department to ensure accurate and timely financial reporting.

Human Resources Support:

  • Assist in the recruitment and onboarding process for new employees.
  • Maintain personnel & leave records and ensure compliance with HR policies.
  • Provide support in performance feedback, attendance, visa renewals, monthly tips and other as advised.
  • Handle employee inquiries related to HR matters.

Staff Support:

  • Provide administrative support to restaurant managers and staff.
  • Assist in the coordination of staff schedules, daily attendance, meetings, and training sessions.

Supply Chain and Inventory Management:

  • Monitor and manage inventory levels of restaurant supplies and ingredients.
  • Coordinate with kitchen and bar staff to optimize stock levels.
  • Coordinate with suppliers for timely ordering and cost-effective procurement.
  • Track and manage supply chain expenses.

Vendor and Contract Management:

  • Communicate with suppliers and vendors to ensure timely deliveries of goods and services.
  • Ensure timely payments to vendors and adherence to contractual agreements.

Compliance and Licensing:

  • Ensure compliance with health and safety regulations, licensing requirements, and other legal obligations.
  • Keep abreast of changes in regulations and update restaurant policies accordingly.
  • Maintain records related to health and safety training and inspections.
  • Assist in obtaining and renewing necessary licenses and permits.

Recordkeeping and Reporting:

  • Maintain accurate and up-to-date records of restaurant transactions and activities.
  • Ensure compliance with record-keeping standards and regulations.
  • Ensure proper documentation and safe keeping of legal documents and contract.
  • Generate regular reports for management review.

Desired Candidate Profile

  • Organizational Prowess: Excellent organizational and time-management skills are a must. The candidate should be adept at managing multiple tasks and priorities in a fast-paced environment without sacrificing accuracy.
  • Communication: Strong verbal and written communication skills are essential. The candidate must be comfortable interacting with staff, clients, and vendors professionally and clearly.
  • Problem-Solving: A proactive approach to identifying and resolving administrative issues. The ability to think on one's feet and take initiative to find solutions is highly valued.
  • Technical Proficiency: Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and have experience with office management software and document management systems. Familiarity with HR software or accounting systems is a plus.
  • Interpersonal Skills: A positive attitude and a collaborative mindset are key. The candidate should be approachable, helpful, and able to build strong working relationships with colleagues.
  • Experience: Previous experience (typically 2-3 years) in an administrative or office management role is required. Experience in the hospitality, travel, or real estate sectors is a significant advantage.
  • Work Ethic: A strong sense of responsibility and integrity. The candidate must be reliable, punctual, and able to handle confidential information with discretion.
  • Adaptability: The ability to adapt to changing priorities and new challenges with ease. The candidate should be flexible and willing to take on a variety of tasks as needed to support the branch's goals.
