Job Description

The Assistant Facilities Manager plays a crucial role in supporting the Facilities Management team to ensure the smooth and efficient operation of an organization's facilities. This position is responsible for assisting in managing the day-to-day maintenance and operation of building facilities, coordinating with various departments, and ensuring compliance with relevant health and safety regulations. The individual in this role will work closely with the Facilities Manager to oversee service providers, manage vendor relationships, and ensure that the facility operates effectively and efficiently. Excellent communication and organizational skills are a must, as is the ability to handle multiple tasks simultaneously in a fast-paced environment. This position is ideal for someone who is detail-oriented, adaptable, and eager to contribute to the operational success of a company.


Responsibilities
  • Assist the Facilities Manager in overseeing building maintenance and operations tasks daily.
  • Coordinate and schedule routine inspections and repairs of the facility's infrastructure.
  • Monitor and manage relationships with vendors and service providers to ensure quality service.
  • Ensure compliance with health, safety, and environmental procedures and policies.
  • Maintain detailed records of facilities operations, maintenance activities, and other relevant data.
  • Assist in the planning and execution of facility-related projects and improvements.
  • Oversee housekeeping and ensure cleanliness and maintenance standards are consistently met.
  • Conduct regular inspections of the premises to ensure high standards of maintenance and safety.
  • Respond promptly to urgent maintenance issues, coordinating across departments as necessary.
  • Assist in budgeting, cost tracking, and financial reporting for facility operations.
  • Participate in the development and implementation of facility maintenance policies and procedures.
  • Support emergency preparedness efforts and manage facility-related risks effectively.

Requirements
  • Bachelor s degree in Facilities Management, Business Administration, or related field preferred.
  • Minimum of 2-3 years of experience in facilities management or a similar role.
  • Strong knowledge of building systems, maintenance, and repair processes required.
  • Excellent organizational skills with the ability to multitask in a fast-paced environment.
  • Experience working with vendors and managing service provider contracts effectively.
  • Proficiency in using facility management software and basic office computer applications.
  • Strong communication skills and ability to work collaboratively with diverse teams.
