Job Description

Roles & Responsibilities

  • Coordinate and manage daily administrative operations, ensuring smooth workflow and efficiency across departments.
  • Assist in preparing budgets and tracking expenditures, providing regular reports to senior management to support financial planning.
  • Manage scheduling and logistics for meetings, ensuring all necessary materials are prepared and distributed in advance.
  • Handle communication with clients and vendors, fostering professional relationships and addressing inquiries promptly.
  • Oversee office supplies inventory, placing orders when necessary, and ensuring a well-equipped work environment.
  • Support project management by maintaining timelines, tracking progress, and communicating updates to team members.
  • Implement and maintain filing systems, both digital and physical, to ensure easy access to important documents.
  • Assist in the recruitment process, including scheduling interviews and preparing onboarding materials for new hires.
  • Conduct research and compile data for reports, presentations, and other administrative needs to assist leadership.
  • Facilitate training sessions and workshops, helping to onboard new employees and enhance team skills.

Desired Candidate Profile

  • A bachelor's degree in business administration or a related field is preferred to ensure a solid foundation in administrative practices.
  • At least 2-3 years of relevant work experience in an administrative or support role to demonstrate capability and adaptability.
  • Proficiency in Microsoft Office Suite and familiarity with project management software for efficient task execution.
  • Strong organizational skills with the ability to prioritize multiple tasks effectively in a fast-paced environment.
  • Excellent verbal and written communication skills to articulate ideas clearly and interact professionally with stakeholders.
  • Detail-oriented mindset to ensure accuracy in documentation and data management, minimizing errors.
  • Ability to work collaboratively in a team environment while also being self-motivated and proactive in problem-solving.
  • Understanding of basic accounting principles to assist with budget tracking and financial reporting.
  • Fluency in English is mandatory, while additional language skills are a plus to enhance communication with diverse clients.
  • A friendly demeanor and approachability to create a positive office atmosphere and support team morale.
