Job Description

As an Assistant Administrative Officer, you will play a crucial role in ensuring the smooth operation of our office. You will be responsible for supporting the administrative functions which include handling clerical tasks, coordinating schedules, and managing office communication. The role requires strong organizational skills, attention to detail, and the ability to multitask effectively in a dynamic environment. You will be expected to liaise with different departments, manage records, and assist in the planning and implementation of administrative systems. The successful candidate will be proactive, efficient, and capable of handling sensitive information with discretion.


Responsibilities
  • Coordinate and manage daily office operations and administrative functions.
  • Assist in scheduling meetings, appointments, and managing executive calendars.
  • Maintain and organize records, files, and confidential documents properly.
  • Respond promptly to inquiries and direct communications to appropriate personnel.
  • Prepare and edit correspondence, reports, and presentations as needed.
  • Oversee and coordinate travel arrangements and itineraries for staff.
  • Monitor office supplies inventory and place orders to ensure availability.
  • Support the preparation and organization of company-wide events and meetings.
  • Develop and implement new administrative systems and processes for efficiency.
  • Act as a point of contact for internal and external stakeholders effectively.
  • Ensure compliance with company policies and administrative procedures.
  • Handle various administrative tasks and special projects as assigned.

Requirements
  • Bachelor's degree in Business Administration or related field preferred.
  • At least 2 years of experience in an administrative support role.
  • Strong organizational skills with the ability to multitask effectively.
  • Excellent verbal and written communication skills are essential.
  • Proficiency in Microsoft Office Suite and common office software.
  • Ability to handle confidential information with the utmost discretion.
  • Must be a proactive problem-solver and work independently when needed.
