Job Title: Administrative & Licensing Assistant

Location: Riyadh, Saudi Arabia Type:

Full-Time (On-site, with periodic visits to clients’ locations within Riyadh, banks, and government entities)

Summary

We are seeking a proactive, sharp, and highly organized Administrative & Licensing Assistant to join our team and support our corporate setup and compliance operations.

This role involves daily coordination with government entities and clients, preparation of corporate documents, and managing multiple client files simultaneously.

It is NOT a routine or basic administrative/secretarial position; where small daunting and repeated requests is the norm, but it requires adaptability, and proper attention to detail that contributes to your personal development.

It is ideal for individuals seeking growth and looking to expand their expertise and exposure within the corporate world.

The ideal candidate is comfortable working under pressure, collaborates effectively within a team, and handles day-to-day and time-sensitive requests with accuracy and professionalism.

Key Responsibilities for Administrative & Licensing Assistant – Licensing Department:

1. General Administrative Support;

  • Prepare, organize, and maintain company documents, letters, contracts, and records.

  • Draft correspondence, meeting notes, and reports for internal and client use.

  • Assist with scheduling, coordinating follow-ups, and managing calendars.

  • Maintain filing systems, perform data entry, and track documentation.

  • Provide inter-team coordination support when required.

2. Licensing & Government Coordination

  • Support the preparation and submission of applications for: Commercial Registrations, MISA licenses, Chamber of Commerce, National Address, Ejar, and other government platforms.

  • Follow up with authorities and update internal records regularly.

  • Ensure accuracy, completeness, and compliance in all submissions and renewals.

  • Liaise with certified translators and postal services when needed.

3. Client & Internal Coordination

  • Communicate with clients and internal teams to gather required documents.

  • Coordinate cross-departmental activities to ensure smooth case processing.

  • Maintain confidentiality, professionalism, and effective communication at all times.

Desired Candidate Profile

Qualifications & Skills:

  • Saudi National (to be able to represent the clients in front of government entities with a PoA, as only Saudis can do this)

  • Excellent communication skills in both English and Arabic (written & verbal).

  • Bachelor’s degree preferably in English Language, or Business Administration, or a related field.

  • Experience is not required but is preferred (administrative or licensing roles).

  • Proficiency in Microsoft Office and Google tools.

  • Exceptional attention to detail and strong organizational skills.

  • Ability to handle pressure, multitask, and meet deadlines.

  • Professional attitude, responsibility, and willingness to handle a range of tasks beyond routine office duties.
