Roles & Responsibilities
Job Purpose
The Administrative Assistant provides comprehensive administrative and clerical support to ensure smooth daily operations within the assigned department. This role manages communication, scheduling, and documentation while maintaining an organized, efficient, and professional office environment that supports departmental and institutional goals.
Key Responsibilities
- Serve as the primary point of contact for the department, ensuring professional communication and customer service.
- Coordinate calendars, meetings, and departmental schedules to support efficient workflow.
- Prepare correspondence, reports, and presentations with accuracy and attention to detail.
- Manage filing systems, records, and document archiving to maintain organized operations.
- Process purchase requests, supply orders, and reimbursements in coordination with Finance.
- Assist in onboarding new employees, coordinating access, workspace setup, and documentation.
- Support event coordination, including logistics, catering, and travel arrangements.
- Maintain office inventory, monitor equipment, and ensure operational readiness.
- Uphold confidentiality while handling sensitive information and personnel records.
- Provide support for special projects and administrative initiatives as assigned.
Required Skills and Qualifications
- Strong organizational and multitasking abilities in a fast-paced environment.
- Excellent communication and interpersonal skills in English; Arabic required.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- High attention to detail, accuracy, and professionalism.
- Ability to manage confidential information with discretion.
- Effective team collaboration and independent task management skills.
