Position Summary
AUIB is seeking a dynamic and experienced Administrative Assistant to drive its mission of ensuring efficient office operations and provide support to the Dean, faculty, and staff. In this pivotal role, the Administrative Assistant] will Administrative Support, Communication, Record Management, and Academic support, and event coordination. Key Responsibilities
1. Areas of Accountabilities: Manage daily office operations for the College of Business.
Schedule and coordinate meetings, appointments, and events for the Dean and faculty.
2. Administrative Support: Maintain office supplies and equipment.
Draft, format, and distribute internal communications, reports, and memos.
Serve as a point of contact for inquiries from students, faculty, and external visitors.
3. Communication
Maintain effective communication with other departments and college offices.
4. Record Management Organize and maintain digital and physical files, records, and databases.
Assist in collecting and preparing documentation for reports and audits.
5. Academic Support Assist faculty with class scheduling, course documentation, and exam coordination.
Support students with academic forms, referrals, and general inquiries.
6. Event Coordination Support planning and execution of college events, guest lectures, and student activities.
Ideal Candidate Profile
Excellent verbal and written communication skills
Strong organizational and time-management abilities
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Attention to detail and problem-solving skills
Ability to work independently and as part of a team
Education and Experience
Bachelor s degree in Business Administration, Office Management, or a related field is required.
(An equivalent combination of education and relevant experience may be considered.)
Experience:
At least 2 years of relevant administrative or office experience, preferably in an academic or professional office environment.
Familiarity with academic environments and student-centered service is preferred
